About The Position

Cary’s Parks, Recreation and Cultural Resources department is seeking an organized and energetic Senior Sporting Events Administrative Assistant to join our fast-paced exciting team! This position will play an essential role in supporting the management of various sporting special projects and sports venues, primarily at WakeMed Soccer Park and other venues as needed. The Senior Sporting Events Administrative Assistant will be responsible for high profile administrative work as well as extensive public contact. Work is performed under the supervision of the venues sports staff. Work will require a flexible schedule which will require some weekday, evening, and weekend availability. This is a part-time, non-benefited, year-round position, up to 20 hours a week, with a maximum of 999 hours per year.

Requirements

  • Comprehensive knowledge of sports and sporting events, standard office practices and procedures
  • Comprehensive knowledge of computers and related software (such as Microsoft Office 365)
  • General understanding of soccer
  • Ability to remain organized, multitask, and work independently
  • Ability to complete assignments accurately and prior to the established deadline
  • Ability to keep moderately complex records and prepare reports from such records
  • Ability to communicate with the public and coworkers tactfully and constructively
  • Ability to understand effectively carry out verbal and written instructions.
  • Ability to lift/move heavy objects (up to 50lbs)
  • Ability to acquire technical knowledge of Cary’s policies, procedures and the services of the department
  • Any combination of education and experience equivalent to graduation from a technical institute, community college, or university and extensive experience in office management work.
  • Requires possession of a valid driver's license with an acceptable driving record.
  • Requires drug testing and background check (which may include criminal history check, SBI fingerprinting, motor vehicle records check, education verification and credit history review) and satisfactory reference checks prior to employment.

Responsibilities

  • Serves as the lead office support person providing and coordinating clerical and customer service support for a variety of operations
  • Assists with all phases of planning for The Cary Cup and the TST Local Organizing Committee initiatives
  • Leads the implementation and execution of assigned portions of the event plans
  • Coordinates with Sports Programming, Sports Venues, and other departmental staff on the use of fields for The Cary Cup & TST
  • Develops and implements strategies for growing local awareness, interest, and engagement in TST and The Cary Cup events
  • Manages relationships and deliverables for strategic partners of TST and The Cary Cup
  • Handles special projects, events, and special assignments; performs specialized research and reports that may be technical in nature
  • Interprets departmental policy; answers difficult questions about departmental operations not requiring technical knowledge
  • Answers calls and emails, receives citizen complaints and requests for services, and provides department information to citizens or refers to appropriate person; interprets department policies, rules, and regulations in response to inquiries
  • Takes and transcribes dictation of correspondence, memoranda, proposals, specifications, contracts, reports, and other materials
  • Designs, develops, and coordinates communication of information to the public regarding The Cary Cup youth tournament and other community engagement events.
  • Checks and reviews a variety of data for accuracy, completeness, and conformance to established standards; follows through to correct incomplete data
  • Collects and interprets data for records and reports, including compliance for State grant
  • Composes routine correspondence, sorts and distributes mail
  • Contributes written material to the web and serves as a web writer for related activities
  • Operates standard office equipment, including use of personal computer and related software, such as MS Office, TeamSideline, and others
  • Ensures that assigned Web pages are accurate, timely, and complete by promptly forwarding updates to Parks Marketing or Public Information for review and publishing
  • Performs other job-related tasks as required.
