About The Position

Maintain and record accurate financial data for the entire agency. This role has a primary focus on payroll processing, ensuring compliance with all relevant laws and regulations, and maintaining accurate payroll records. The position also involves general ledger reconciliations, assisting with month-end close, and supporting accounts payable and receivable functions. Additionally, the Senior Accountant will provide support and training to employees and supervisors on payroll and timekeeping systems.

Requirements

  • Bachelor’s degree in Accounting, Business Administration or related field preferred.
  • 3-5 years of combined payroll and accounting experience (nonprofit experience strongly preferred).
  • Must have hands-on experience processing payroll for 500+ employees using Paylocity.
  • Must have hands-on experience with Microsoft Dynamics Business Central.
  • Experience using Bill.com for accounts payable processing.
  • Solid understanding of general ledger, journal entries, reconciliations, and basic AR/AP functions.
  • Strong knowledge of FLSA, federal/state wage laws, and IRS payroll reporting (Form 941, W-2, etc.).
  • Communicate clearly in oral and written form on a constant basis.
  • Work independently; utilize good judgment and possess a strong sense of initiative.
  • Ability to lift to 5lbs
  • Must be able to sit for long periods of time
  • Requires frequent viewing of computer screen, continual eye coordination and hand/wrist movement and finger manipulation.

Responsibilities

  • Prepare, process, and reconcile biweekly payroll for 500+ staff using Paylocity.
  • Review and validate timecards to ensure accurate hours worked, correct cost center allocations, and compliance with organizational policies.
  • Correct errors, omissions, and discrepancies in timekeeping prior to payroll submission.
  • Ensure compliance with FLSA, federal, and state wage and hour laws.
  • Maintain payroll records in compliance with federal, state, and organizational guidelines.
  • Reconcile payroll to IRS Form 941 quarterly tax filings.
  • Assist with quarterly and annual tax filings, audits, and reconciliations.
  • Participate in yearly financial audit and 401(k) audit.
  • Leverage Microsoft Dynamics Business Central for payroll journal entries, GL reconciliations, and financial data integrity.
  • Upload payroll entries to the general ledger.
  • Assist with month-end close processes related to payroll and benefits.
  • Prepare and distribute payroll reports to Finance and HR as required.
  • Support Accounts Payable functions using Bill.com, including vendor invoice processing, payment runs, and coding to correct cost centers.
  • Support Accounts Receivable functions as needed, including payment posting and reconciliation.
  • Verify all punches are assigned to the correct cost center; correct entries to ensure accurate financial reporting.
  • Partner with supervisors to ensure timely approval of weekly timecards (by Monday, 10 a.m.).
  • Respond promptly to employee inquiries related to pay, deductions, and timecard issues.
  • Provide training and guidance to supervisors and staff on payroll/timekeeping policies and Paylocity system use.
  • Collaborate with HR and Finance on employee status changes, benefits, deductions, and other payroll-related updates.
  • Assist employees with 401(k) enrollments and loan requests.
  • Other duties as assigned
