Arboreal Management•Hilton Head Island, SC

About The Position

Arboreal Management is hiring a Senior Accountant to own treasury and payment processing across a portfolio of several hundred property and ownership entities. The accountant will manage daily cash positions and payment calendars, prepare and document outgoing payments for approval by another person, record transactions, reconcile accounts, and maintain an audit-ready trail. The role requires independently prioritizing work, tracking cash and upcoming transactions, communicating issues early, and supporting banking-partner transitions and ACH and lender autopay setup for new properties. The position also covers debt-service tracking and intercompany funding, month-end close, audit support, bank account migrations, procedures, controls, and testing automation and payment tools. This is an independent contractor engagement: the contractor invoices for hours worked, handles their own taxes and statutory contributions, and supplies their own computer and internet connection. Company-paid benefits, leave accrual, and statutory employment entitlements do not apply. The company provides software licenses and system access.

Requirements

  • Bachelor’s degree in accounting, or in finance with substantial accounting coursework.
  • Five or more years of progressive accounting experience, including at least two years in public accounting (audit or assurance).
  • Background in accounts payable and treasury or cash management, including hands-on execution of wires and ACH.
  • Experience managing cash and payments concurrently across a large number of bank accounts, legal entities, and distinct clients; the posting identifies this as the single most important qualification.
  • Command of accrual accounting, including the ability to prepare and support journal entries, accruals, and reconciliations without a template.
  • Self-direction in a fast-paced environment, including planning work, tracking parallel obligations without reminders, and calmly reprioritizing urgent work.
  • Advanced Excel skills, including lookups, pivots, penny-level reconciliation, and building working files others can follow.
  • Strong written English and confidence raising problems early in writing.
  • A reconciliation mindset and willingness to investigate unexplained variances.
  • Reliable home working setup with stable high-speed internet, a quiet workspace, and a backup connection to support six hours of Pacific overlap.
  • Supply own computer and internet connection.
  • Invoice the company for hours worked and be responsible for own taxes and statutory contributions in country of residence.
  • Complete Form W-8BEN to document non-US status for tax purposes.

Nice To Haves

  • Active CPA license (Philippine or US).
  • Real estate or property management accounting background, including trust or client-funds handling.
  • Hands-on experience with AppFolio or a comparable property management accounting platform.
  • Experience with commercial bank portals, positive pay, and ACH origination files.
  • Exposure to lender servicing, loan payment administration, or covenant reporting.
  • Track record of writing procedures for work performed for the first time.
  • Experience using automation or AI tools to reduce manual process steps.

Responsibilities

  • Maintain daily and weekly cash positions across managed bank accounts by entity and ownership group.
  • Reconcile bank activity to the general ledger, investigate and clear differences, and keep reconciling items current and aged.
  • Identify accounts at risk of shortfall early and maintain accurate bank account inventories, including openings, closings, signers, ownership changes, and entity renames.
  • Review approved bills against available cash and payment rules; decide whether to approve, hold, or partially pay, and document the reasoning.
  • Prioritize payments by exposure, including shutoff-risk utilities, taxes, insurance, debt service, and lien-capable vendors.
  • Prepare payment batches for approval, then release and record payments after approval.
  • Return duplicated, miscoded, or unsupported bills to the AP team before payment.
  • Respond to vendor questions about payment status and timing.
  • Prepare wires and ACH transactions for review and approval, with supporting documentation.
  • Verify payee banking details against an independent source and apply callback verification to new or changed payment instructions.
  • Track banking-partner same-day cutoffs, confirm settlement, and resolve returns, rejects, and recalls.
  • Complete and maintain lender banking forms and ACH debit authorizations, and track lender debit accounts, dates, and amounts.
  • Support ACH forms and lender autopayment setup for new properties and confirm the first debit uses the correct account.
  • Track scheduled debt service by property and lender, including due dates, amounts, funding accounts, and clearing status.
  • Identify debt-service funding shortfalls and assemble funding options for review.
  • Record loan payments, escrow activity, and related-entity transfers on both sides; reconcile due-to and due-from balances.
  • Reconcile scheduled debt payments against cleared payments each cycle and escalate exceptions.
  • Prepare supported journal entries and accruals for cash, payment, intercompany, and debt activity.
  • Reconcile cash, intercompany, and loan balances at month end and deliver them according to the close calendar.
  • Prepare audit-ready workpapers and respond to external auditor, lender, and owner requests.
  • Identify and correct upstream causes of errors such as duplicate payments, payments booked to the wrong entity, or one-sided transfer entries.
  • Support bank account migrations and update the cutover tracker daily.
  • Confirm recurring debits, autopayments, and transfers have been redirected before old accounts are closed.
  • Write and maintain procedures for assigned work.
  • Improve controls and maintain audit-grade documentation in day-to-day work.
  • Help automate repetitive treasury and payment work, including testing new tools and payment rails before live use.
