About The Position

The Security Clearances Administrator will support the BGIS security program in compliance with Infrastructure Ontario corporate and government policies and directives.

Requirements

  • Three (3) to five (5) years of administrative experience.
  • Excellent computer skills, proficient with MS Office.
  • Highly organized and able to multi-task.
  • Strong time management skills and organizational skills.
  • Must be dependable, responsive, customer-focused and possessing the qualities of diplomacy, tact, excellent judgment, discretion and initiative and perform in a multi-tasked and dynamic environment.
  • Must be able to obtain and maintain a BGIS criminal background clearance.
  • Must be able to obtain and maintain Infrastructure Ontario OPS and OPP clearance.
  • Demonstrated ability to effectively communicate information to various audiences and all levels of the organization, both verbally and through written communications.
  • Must be dependable, responsive, customer-focused and possessing the qualities of diplomacy, tact, excellent judgment, discretion and initiative and perform in a multi-tasked and dynamic environment.
  • Requires the ability to make sound decisions, manage time, take independent action, analyze problems and provide focused solutions.

Nice To Haves

  • Knowledge of corporate and Government of Ontario security policies and directives an asset.

Responsibilities

  • Process clearances for those BGIS Team Members and contractors requiring access to Government of Ontario information, assets, or work sites and ensure that accurate and complete personnel security screening documentation is submitted for such coworkers.
  • Take ownership and drive compliance for Internal & Vendor applicants approaching clearance expiry.
  • Proactively contact applicants to provide reminders regarding upcoming clearance expiry dates and required renewals.
  • Assist applicants in completing system submissions accurately and efficiently.
  • Enforce compliance with all Infrastructure Ontario (IO) clearance requirements and protocols.
  • Collaborate and communicate with Security Specialists regarding incoming applications and status updates.
  • Provide change of circumstance reports for personnel when required.
  • Ensure required documentation is submitted in order to terminate the clearances of those coworkers and contractors who no longer require access to Government of Ontario information and assets or controlled sites in accordance with contractual requirements.
  • Maintain a current list of security screened coworkers, suppliers and contractors in accordance to BGIS and Government of Ontario guidelines.
  • Ensure that personnel security screening files are properly safeguarded.
  • Maintain detailed and accurate records of all communications, including dates and times, to ensure full traceability and audit readiness.
  • Escalate issues, risks, or non-compliance matters to Managers and Directors in a timely and appropriate manner.
  • Perform additional duties and responsibilities as needed.
  • Have a good understanding of the Security requirements at each specific location.
  • Provide general administrative support and perform other related administrative duties as required.
