About The Position

The Canadian Bar Association of British Columbia (CBABC) is seeking a Sections Advisor to join their team on a part-time basis. This role supports volunteer members in planning and executing professional development and networking events for various legal practice groups. The position involves managing event logistics, coordinating communications, providing technical support for virtual and in-person meetings, and assisting with administrative tasks. Requirements

  • Post secondary education in communications, marketing, project/program management, psychology, business administration, community engagement or similar field.
  • Minimum 5 years' experience in meeting planning and execution in a fast-paced environment.
  • Experience and confidence managing volunteers.
  • Experience with project management and event planning.
  • Strong interpersonal skills with individuals and as a team player working in a group setting.
  • Strong written communication, attention to detail and proofreading skills.
  • Highly organized, self-motivated, adaptable, flexible, and able to work well under pressure in a fast-paced, high-volume environment.
  • Sound judgment and decision-making ability.
  • Experience with MS Teams, Excel, Outlook, Copilot, Zoom, Kentico (or similar content management system).
  • Highly proficient in using and trouble-shooting equipment such as LCD projectors, microphones, cameras.
  • Ability to lift up to 35lbs of materials and equipment, sometimes carried upstairs, across or between venues.
  • Must be able to load/unload vehicles and carts, crouch to plug in equipment and tape down cords, and be active for up to 2 hours at a time.
  • Available to work approximately 20% early evenings and occasional weekends (typically no more than 2 weekends per year).

Nice To Haves

  • Undergraduate degree is an asset.
  • Experience working with professionals, specifically in the legal field, would be a strong asset.
  • Knowledge of Vimeo, Higher Logic Informz (or similar email marketing software), Camtasia, Adobe Suite an asset.
  • Training or certification in Indigenous Cultural Awareness and Equity, Diversity & Inclusion is an asset.

Responsibilities

  • Advise and manage volunteers across approximately 15-25 committees.
  • Plan, document, promote and implement in-person or virtual professional development meetings and socials for each committee (3-5 events per year, per committee).
  • Secure venues, determine event pricing and budget, monitor and track costs.
  • Manage communications: from creating and distributing enticing meeting notices, to setting up registration pages, and supporting communication between volunteers.
  • Ensure meetings, events, and correspondence follow applicable policies and operational procedures.
  • Oversee payment of vendor invoices and volunteer expense reimbursement.
  • Provide technical support for virtual and hybrid meetings conducted by Zoom.
  • Provide on-site support for in-person professional development meetings; overseeing audio/visual and venue logistics for in-person meetings, conferences and networking events.
  • Plan and implement annual processes such as volunteer recruitment, planning, and orientation.
  • Contribute to ongoing process and service delivery improvements.
  • Communicate with members via phone and email about CBABC activities, services and membership.
  • Stay informed about branch strategy, initiatives, and large events to assess relevance to Sections.
