About The Position

Manages the Office of Medical Education that has institutional oversight responsibilities; coordinates activities of personnel and procedures to carry out departmental objectives according to established policies and procedures. Texas Tech Health El Paso (TTEP) is not considering applications from individuals who require sponsorship for an employment visa, including those with H1B visas or those currently on student or postgraduate visas. Additionally, this position is not eligible for remote or hybrid opportunities. All work is required to be performed onsite at TTEP. Working under the supervision of the Associate Academic Dean for Medical Education, directs, plans, coordinates, and supervises the activities and operations of the Office of Medical Education. Responsible for direct support of daily managerial and organizational tasks, including purchasing, travel, logistics, administration and evaluation of staff, and space allocations, organizing tasks and setting priorities as required by the Office of Medical Education and the Associate Dean for Medical Education. Responsible for managing the staff recruitment efforts and onboarding of new hires for the Office of Medical Education. Responsible for providing administrative oversight and assistance to the curriculum management team for the PLFSOM medical education (MS1-MS4) program. Responsible for establishing and maintaining a system of productive and ongoing communication with senior administration, departments, course/clerkship leadership, and faculty to include medical education program requirements, project plans, progress reports, and budget reports. Responsible for performing all other duties as assigned by the Associate Deans for Medical Education. Responsible for coordinating Office of Medical Education projects in accordance with the TTUHSCEP guidelines, policies and procedures and working with other departments and offices at TTUHSCEP as needed. Responsible for monitoring entries in time clock plus and uploading payroll files. Responsible for monitoring and approving leave requests and leave entries of OME staff. Responsible for the process of preparing and coordinating affiliation agreements for the Office of Medical Education and provide updates to students and all parties involved in a timely manner when the assigned program coordinator is not available. Responsible for purchasing NBME vouchers and for submitting invoices for NBME services. Manages UWorld subscription process, student rosters and negotiation of the contract with the company. Collaborates with other personnel in the Office of Medical Education and other departments to update the PLFSOM website and catalog annually or more often as needed. Assists the Associate Dean for Medical Education in the preparation and submission of the Continuity of Operations Plan for the School of Medicine. Organizes events and student incentives to encourage participation in the AAMC annual surveys, including the Year 2 Questionnaire and the Graduation Questionnaire. Manages property inventory for the Office of Medical Education and the Clerkship Office. Allocates department procurement card. Assists the Senior Director Business Officer for Academic Affairs in the preparation and management of the Office of Medical Education budget. Assists the Assistant Dean for Clinical Instruction in completion of her duties related to the clerkship phase of the curriculum. Remain current with all licensure, certifications, and mandatory compliance and training requirements for this position. Adhere to all policies, procedures, and practices (Regents Rules, TTUS, HSECEP OPs, etc.). Requirements

  • Bachelor's degree in job related field plus three years experience related to the assigned area; OR Combination of education and/or related experience to equal seven years
  • Prior experience in managing contracts
  • Prior experience understanding student fees
  • Prior experience in grant management
  • Prior experience managing recruitment, evaluation and development of personnel
  • Prior experience with data visualization tools
  • Excellent spoken and written English skills
  • Prior experience with computer software skills, including Microsoft office

Responsibilities
