About The Position

This position is for a full-time Secretary in a Clinical Lab, working day shifts. The role involves supervising business/clerical functions, managing telephone and computer-based tasks, operating office machines, and handling various reports and laboratory files. A strong commitment to teamwork, effective communication, and patient safety is essential.

Requirements

  • Knowledgeable in the use of data bases, word processing, and spreadsheets.
  • Strong customer service orientation, able to handle upset/difficult guests.
  • Excellent communication skills: telephone, verbal, and written (including grammar, composition, spelling, punctuation).
  • Excellent organizational skills; able to prioritize work assignments and manage multiple projects with minimal supervision.
  • Able to handle frequent interruptions while maintaining accuracy in work.
  • Ability to work well independently as well as in a team environment.
  • Light physical and moderate cognitive demands.
  • Sedentary physical demand capability.
  • Able to sit for 2 -3 hours at a time; able to bend and reach intermittently.
  • Able to handle multiple phone lines and walk-in guests.
  • Able to work with time constraints, manage multiple tasks, and handle frequent interruptions.
  • Able to prioritize and organize work.

Responsibilities

  • Supervises the business/clerical functions.
  • Communicates clearly to callers by answering questions, directing calls and screening calls.
  • Maintains databases as needed, entering phone/fax orders.
  • Operates all office equipment Fax, copier, scanner etc.
  • Troubleshoots MOBILAB equipment.
  • Runs, files, mails and addresses reports: DOCOUT3, DOCOUT4, DOCIN, DOCINPAN, LOC, NIS.
  • Runs and addresses reports: Call/Fax, Telecom report-Auto fax, Telecom, Manual Fax, Missing Scan.
  • Maintains laboratory files: physician phone lists, reference reports, drug screens, lab requisitions.
  • Demonstrates understanding that all employees are responsible for patient safety.
  • Recognize the importance of reporting, documenting and review of errors to improve patient care.
  • Develops and facilitates good working relationships with physicians, staff members and co-workers/peers.
  • Contributes in problem-solving activities intra-and inter-departmentally.
  • Demonstrates flexible staffing needs within the department.
  • Uses department resources (supplies, equipment) in a cost effective manner.
  • Communicates effectively and in a timely manner to medical director, co-workers and physicians through informal updates, written and verbal communications.
  • Consistently meets attendance standards and follows the department standards for "calling in" and requesting time off.
  • Maintains a professional demeanor at all times.
  • Maintains telephone directory of physicians.
  • Pulls original database orders.
  • Performs other duties as assigned.
