About The Position

The Secretary, Primary Care Internists (TMBP) position involves greeting patients, managing appointments, handling payments, maintaining patient records, and providing administrative support within a medical setting. The role requires excellent communication skills, basic computer proficiency, and the ability to handle sensitive patient information with care and professionalism. The secretary will also assist with new personnel orientation and maintain professional development.

Requirements

  • Ability to read, write and communicate in English.
  • High School graduate or equivalent.
  • Basic Computer skills.
  • Keyboarding skills at 30 words per minute as demonstrated by successful completion of a timed test.
  • At least one year successful experience within the past 2 years as a secretary in a medical setting.
  • Knowledge of processing referrals/prior authorization.

Responsibilities

  • Greet patients, obtain/confirm accurate demographic/insurance information, and register patients into scheduling software.
  • Secure copies of valid insurance cards and identification of patients.
  • Collect co-pays and payments, entering them accurately into the scheduling system.
  • Process patient receipts, reconcile daily cash receipts, and complete nightly batch reports.
  • Schedule patient appointments (office visits, laboratory, radiology, other physician offices) in person or by telephone.
  • Process insurance referrals and prior authorizations.
  • Check patient eligibility using MASS REV’s and BMC.
  • Provide insurance information on Health Care Proxy’s, Advanced Beneficiary Notice, HIPPA, and obtain necessary patient consents.
  • Answer telephone calls promptly, direct calls, take messages, and retrieve voice messages hourly.
  • Forward and retrieve phone lines, inform the answering service of 'on call' physician schedules, and address answering service messages.
  • Maintain physician’s daily appointment schedule, produce schedules and super bills, and prepare medical records for office visits.
  • Organize patient charts, department records, and filing systems for efficient retrieval.
  • Affix proper identification and aging labels on all charts, assist in locating missing charts, and compile new charts.
  • Pull charts for telephone messages and distribute them as necessary.
  • Pull charts and attach patient results in a timely manner.
  • File correspondence, reports, test results, and re-file charts.
  • Photocopy/fax information and provide medical records information for patients, outside agencies, and physicians.
  • Assist in the orientation of new personnel.
  • Assume professional responsibility for development of skills and ongoing education.
  • Perform other related duties as assigned.
