This position is for a Secretary within the Adolescent Day Treatment Program. The role involves performing secretarial and administrative duties to support the program. Requirements

  • Grade 12, graduation from recognized secretarial program, including a recognized course in medical terminology
  • Three years recent, related experience, or equivalent combination of education, training and experience.
  • Ability to keyboard at 60 w.p.m.
  • Ability to operate related equipment.
  • Ability to organize work.
  • Ability to communicate effectively, both verbally and in writing.
  • Ability to deal with others effectively.
  • Physical ability to carry out the duties of the position.

Responsibilities

  • Establishes and maintains a variety of systems such as forms development and filing.
  • Performs secretarial duties such as screening incoming materials; prioritizing items for the attention of the department head or program staff; responds to inquiries by drafting correspondence or referring to appropriate area.
  • Types a variety of technical and non-technical material from draft and/or transcription from dictation equipment.
  • Schedules appointments and meetings and determines urgency of requests in order to provide effective response for patient services or other inputs.
  • Coordinates work flow by gathering information from files, directing referrals to appropriate staff according to predetermined criteria.
  • Maintains records such as timekeeping attendance, departmental statistics, etc. within established guidelines.
  • Performs receptionist duties such as receiving and prioritizing incoming inquiries and directs to appropriate person or area; following established procedures, provides information to patients/families regarding resources available in the community/hospital when required.
  • Sets up and maintains a filing system for patient records and correspondence.
  • Maintains inventory of supplies; maintains petty cash for department.
  • Performs other related duties as required.
