About The Position

The Educational Services Commission of New Jersey (ESCNJ) - Nonpublic Department is seeking a Full-Time Secretary for a twelve (12) month position. This role involves performing various clerical and secretarial duties to facilitate effective office operations within the Nonpublic Department, located at 1690 Stelton Road, Piscataway, NJ 08854. The position starts on August 17, 2026, pending criminal history clearance, and reports to a Program Administrator designated by the Board or Superintendent.

Requirements

  • High School diploma or equivalent.
  • Strong organizational skills with the ability to maintain accurate records and required documentation.
  • Knowledge of basic office practices and procedures including sorting, filing, and organization.
  • Prioritize and manage multiple tasks with efficiency.
  • Professional communication skills.
  • Ability to lift 50 lbs.
  • New Jersey residency required within one year of the date of hire.
  • Knowledge of computer systems and software.

Nice To Haves

  • Some college education or business-related certificate preferred.
  • Strong emphasis on computer literacy (Google Suite, Microsoft Excel, Frontline) preferred.
  • Experience with purchase orders preferred.
  • Previous experience with clerical and secretarial responsibilities preferred.
  • Such alternatives to the above qualifications as the Commission may find appropriate and acceptable.

Responsibilities

  • Provide back up and relief to other internal building level or department secretarial/clerical staff.
  • Handle receptionist duties.
  • Handle sorting, date stamping and distribution of mail for the program or department assigned.
  • Provide Superintendent's office and other departments with clerical assistance when available.
  • Duplicate and laminate instructional materials as requested for teaching staff.
  • Monitor and maintain accurate staff and student records and files.
  • Monitor and maintain teacher sign-in, mailbox system and copying log.
  • Process requests for materials and supplies in a timely manner according to the business office guidelines.
  • Input requisitions for Superintendent's Office, as requested.
  • Must have the ability to keep information strictly confidential.
  • Complete additional duties as assigned in support of department goals and priorities.
  • Other duties as assigned by the Superintendent and/or designee.
