About The Position

An Anticipated Vacancy exists for a Secretary to the Principal for Gulph Elementary School. This role involves providing comprehensive secretarial support to the Elementary School Principal, managing student information systems, handling confidential correspondence, maintaining various building files, assisting with budgeting and inventory, coordinating with the Purchasing Department, and managing extra-curricular accounts. The position requires excellent administrative, customer service, and computer skills, with a strong emphasis on organization and communication.

Requirements

  • High School diploma.
  • Excellent administrative skills.
  • Proven experience providing a high level of customer service.
  • Excellent computer skills, including Google Drive: Sheets, Docs, Sites, etc.
  • Effective written and verbal communication and interpersonal skills.
  • Self-directed, able to organize, and motivated.
  • Original certificates of clearance from the State Police, Child Abuse Registry, and PDE FBI.

Nice To Haves

  • Three (3) years of experience in a similar role preferred.

Responsibilities

  • Provides secretarial support to the Elementary School Principal: types all communications, schedules appointments, screens mail, composes routine letters and memos.
  • Maintains all of the Elementary School scheduling on Student Information System (SIS) – adding/deleting of courses in the master schedule, all schedule changes during the school year, generating interims and report cards.
  • Receives and produces correspondence of a confidential nature involving students and staff.
  • Maintains building files: files for staff members, correspondence, purchase requisitions, vacancy notices, maintenance requests, and professional meetings.
  • Prepares budgeting procedures for teachers, distributes forms, collects, and compiles budget requests for the principal’s approval.
  • Inputs approved budget items and inventory into the computer and monitors spending within budget.
  • Coordinates with the Purchasing Department to determine the status of all textbook/workbook and equipment orders.
  • Receives and verifies all orders manually.
  • Ensures adequate inventory and distribution of office and school supplies.
  • Maintains records of all Elementary School extra-curricular accounts – makes deposits, prepares check requests, and balances books.
  • Performs other job-related duties as assigned.
