About The Position

Directly accountable to the Regional Manager of Speech-Language Pathology, the Secretary performs secretarial, clerical, receptionist services, and other related duties for the Speech-Language Pathology-Long Term Care department. Performs coverage receptionist and/or clerical duties for Speech Language Pathology, Rehabilitation Services and the Communication Devices Program as needed. Performs all duties in accordance with established health and safety regulations/guidelines, policies and procedures (e.g. utilizing personal, protective equipment as per safe work procedures). Notifies their Manager or their designates (i.e. supervisors) of all occurrences, injuries illnesses or safety and health concerns which are likely to harm themselves, their co-workers, or any others who enter the premises.

Requirements

  • Successful completion of secondary school education with formal training in typing, clerical functions and basic stenographic skills and computers (Excel, Microsoft Word, Outlook).
  • Specific training related to the use of medical terminology.
  • Knowledge of general office practices and procedures including word processing, filing, record keeping, and statistics.
  • Knowledge and understanding of philosophies and terminology of Speech-Language Pathology.
  • Knowledge of medical terminology.
  • Knowledge of the operation of personal computers and associated software.
  • Knowledge of the operation of modern office equipment.
  • Ability to relate to staff, patients/residents and families.
  • Ability to organize work schedules and set priorities with minimal supervision.
  • Ability to develop efficient office management systems.
  • Ability to communicate effectively and maintain confidentiality.
  • Ability to obtain and transmit accurate information both verbally and in written form.
  • Consistently courteous, flexible, tactful, and reliable.
  • Ability to read, write, speak and understand English with a superior understanding of grammar, spelling, syntax and punctuation rules.
  • Ability to organize and prioritize workload efficiently.
  • Ability to work independently with minimal supervision.
  • Ability to meet deadlines.
  • Ability to proofread document and correct errors.
  • Ability to schedule appointments and arrange meetings.
  • Ability to prepare reports.
  • Keyboarding speed of 65 wpm with less than 5% error rate.
  • Shorthand/speedwriting skills.
  • Ability to manage workload despite frequent interruptions and competing demands upon time.
  • Well-developed personal computer skills, including word processing (Word), spreadsheets (Excel), communication (Outlook), and various computer database systems.
  • Willingness to undergo further training in office procedures and use of office equipment.
  • Current satisfactory Criminal Records Check (including Vulnerable Sector Search), Child Abuse Registry Check and Adult Abuse Registry Check.

Nice To Haves

  • Prior experience in secretarial, clerical, and receptionist services in a healthcare setting preferably in the field of geriatrics.
