About The Position

Performs general secretarial and receptionist duties, with a strong emphasis on student attendance record keeping. This role requires assisting in data entry for attendance, attendance reporting, attendance letters, and knowledge of attendance policy. The secretary will also assist the administration to track absenteeism, truancy reporting, attendance appeals, and coordinate BECCA documentation. Accurate record-keeping for State accounting/auditing purposes is essential. The position involves working with a minimum of supervision, assisting in student accident/health-related situations, and potentially receiving medication administration training. Responsibilities include answering the telephone, receiving and responding to inquiries, concerns, and complaints, and serving as a backup receptionist. The role also involves sending letters, forms, memoranda, and reports, establishing and maintaining filing systems, and working with a phone messenger program for daily absentee calls. Interpreting as needed for individuals with multiple language skills is also a duty. The position requires excellent attendance and performance of other similar duties as assigned.

Requirements

  • High School Diploma or G.E.D. equivalent.
  • One (1) year of clerical experience using various computer applications, or any combination of education and experience, which provides the applicant with the knowledge, skills, and abilities required to perform the job.
  • Ability to successfully complete the following assessments: typing test-Typing (upper Moderately Effective to Highly Effective range), math test, grammar test, basic excel test, proofreading test, and other assessments as applicable to the position.
  • Ability to maintain the confidentiality of sensitive information.
  • General office/secretarial practices and procedures.
  • Common practices and procedures of processing and disseminating information and supporting documentation.
  • Fluent oral and written Spanish and English preferred.
  • Effectively use a variety of computer applications such as Word, Excel, etc.
  • Ability to work in an office atmosphere, which requires assisting and working well with other staff members, parents, and students.
  • Must have strong written and oral language skills, be detail-oriented and have excellent attendance.
  • Ability to independently plan, organize, and coordinate assigned activities, often in the supervisors' absence.
  • Ability to maintain the confidentiality of sensitive information.
  • First aid card may be required for specific positions
  • Ability to successfully complete the following assessments: Typing (upper Moderately Effective to Highly Effective range), math, grammar, basic excel, proofreading, writing sample (optional), 10-key test (optional), accounting (optional) tests.

Responsibilities

  • Establish and maintain a filing system of detailed records including the updating, transferring, and purging of files.
  • Work with phone messenger program/machine for daily absentee phone calls.
  • Interprets as needed if an individual possesses multiple language skills.
  • Must have excellent attendance.
  • Perform other duties of a similar nature or level as assigned.
