About The Position

The County Sanitation Districts of Los Angeles County is seeking an organized, customer service-oriented, and motivated professional to join the Wastewater Management Department as a Secretary I/II at the San Jose Creek Water Reclamation Plant in Whittier. Requirements

  • For SECRETARY I: One (1) year of experience in the County Sanitation Districts of Los Angeles County performing the duties at or above the Office Assistant I level, OR Two (2) years of experience in stenographic or clerical work.
  • For SECRETARY II: One (1) year of experience in the County Sanitation Districts of Los Angeles performing secretarial and clerical duties of a Secretary I or Senior Office Assistant.
  • For BOTH LEVELS: Satisfactory completion of college level business, secretarial or clerical course work may be substituted on a year-for-year basis for up to one year of the required experience.
  • Type 50 words per minute with a maximum 10% error rate.
  • Interpret and apply administrative rules, procedures and policies.
  • Perform word processing operations with full proficiency utilizing a desktop computer.
  • Prioritize and coordinate office procedures.
  • Keep records.
  • Independently compose and prepare correspondence.
  • Edit and correct written materials.
  • Train clerical support staff.
  • Maintain departmental files and records.

  • Highly proficient using Word, Adobe Acrobat Professional, Excel, DMS, WAM and other office management software.

Responsibilities

  • Lead the administrative functions of the section.
  • Perform secretarial work involving the organization, coordination and facilitation of the section's administrative and technical projects.
  • Accomplish clerical tasks involving office systems and procedures.
  • Train and delegate work to subordinate and clerical staff.
  • Compile data and prepare reports utilizing advanced word processing and related software.
  • Lead the administrative functions of the WRP Section.
  • Facilitate and coordinate administrative tasks between groups and departments.
  • Work cooperatively and effectively with other groups and departments to efficiently complete administrative work.
  • Perform complex secretarial work.
  • Coordinate and maintain office procedures and systems.
  • Accomplish administrative details.
  • Type final versions of letters, reports, charts, forms, and rosters from notes, drafts, verbal directions, or written instructions.
  • Organize and prepare information for letters and reports.
  • Generate draft agenda items and coordinate such agenda items with the Department Administrative Secretary and other sections/departments as needed.
  • Provide timekeeping support.
  • Answer the telephone, greet visitors, take messages, and provide information.
  • Route correspondence.
  • Sort and log incoming and outgoing mail.
  • Independently compose routine correspondence.
  • Create and maintain office files and records.
  • Schedule and arrange training, appointments, and meetings.
  • Make travel arrangements.
  • Train and delegate work to subordinate clerical staff.
  • Operate office equipment such as fax machines and document copying equipment.
  • Utilize word processing, spreadsheet, and database programs.
  • Prepare and organize documents using advanced features in Word, Adobe Acrobat Professional, Excel, DM5, WAM, and other office management software.
  • Coordinate petty purchases, requisitions, and petty cash transactions for the section.
  • Provide back-up to the Department Administrative Secretary, when necessary.
  • Perform related duties as required.
