About The Position

The Secretary, Cardiac Rehab position requires a courteous and professional individual to manage patient interactions, administrative tasks, and support for the therapy staff. This role involves greeting patients and visitors, handling appointment scheduling, verifying insurance information, maintaining patient charts, and preparing reports. The secretary must be proficient in using computer systems for registration and scheduling, and possess excellent communication and organizational skills. A strong understanding of medical terminology and experience in a medical setting are essential. The position also emphasizes providing excellent service in line with the organization's commitment to compassion, accountability, respect, excellence, and service.

Requirements

  • High School Education or General Education (GED).
  • Successful completion of an accredited Medical Terminology Course with a grade C or better or successfully pass a hospital generated test with a score of 80% or better.
  • Must be able to read and write English.
  • At least 2 years experience in a medical setting.
  • Must be able to type 30 words per minute.

  • Knowledge of scheduling dictionaries.

Responsibilities

  • Greet patients and visitors.
  • Act as a liaison for MD offices and receive all appointment calls.
  • Receive telephone and in-person referrals for therapy services and record necessary demographic information.
  • Interview and register outpatients via computer.
  • Check the validity of physician's orders/requisitions for medical necessity and proper physician signature.
  • Obtain prior approvals and pre-certifications from third party payers for therapy services and document approval numbers.
  • Confirm initial appointments.
  • Print and distribute all daily schedules to various locations and departments.
  • Accurately verify various insurance authorization/referral requirements.
  • Regularly update knowledge of third party payer regulations.
  • Assist therapy staff with monthly re-certification of services and update staff on changes in third party payer procedures.
  • Assemble, maintain, manage, and analyze patient charts.
  • Schedule multiple facilities, procedures, services, and technical resource staff.
  • Assist with departmental statistics and quality assurance, program evaluation, and environmental and infection control activities.
  • Prepare reports and correspondence for various state and federal regulatory agencies.
  • Understand and use correct procedures for all age groups of patients, including geriatric and pediatric.
  • Order supplies.
  • Provide clerical and telephone support for the department.
  • Wear facility-provided identification badge.
  • Consistently provide service excellence to all patients, family members, visitors, volunteers, and co-workers.
