About The Position

Crown Equipment Corporation, a global leader in lift truck manufacturing, is seeking a Secretary for its branch operations. This role provides essential support to office staff and various branch departments, ensuring smooth daily operations. The position involves a range of administrative, accounting, and customer service tasks, contributing to the efficiency of the branch and supporting management. Key responsibilities include processing mail and correspondence, managing quotes, ordering supplies, and maintaining files. The role also assists with accounting functions, prepares reports and special projects for the Branch Manager, and handles confidential documents for management. Additionally, the secretary will process billing, credits, re-invoicing, obtain purchase orders, and maintain service equipment and inventory information. The position also involves greeting visitors and managing a multi-line phone system.

Requirements

  • High school diploma or equivalent
  • Less than 2 years related experience
  • Strong computer skills including experience with Microsoft Office Suite
  • Excellent phone skills
  • Must be detail oriented with strong communication and customer service skills
  • Must be legally authorized to work in the United States. Crown will only employ those who are legally authorized to work in the U.S. This is not a position for which sponsorship will be provided. Individuals with temporary visas or who need sponsorship for work authorization now or in the future, are not eligible for hire.

Responsibilities

  • Providing support as needed to the office staff and all branch departments
  • Process mail and correspondence, typing, quotes, order supplies and sales literature
  • File preparation and maintenance
  • Assist with accounting functions
  • Providing support as needed to the Branch Manager, including reports and special projects
  • Preparing confidential documents for the Branch Manager, Sales Manager, and Service Manager
  • Process billing, credits, re-invoicing and obtain purchase orders from customers as needed.
  • Maintaining information for service equipment and inventory.
  • Greeting visitors
  • Answering multi-line phone and directing incoming calls
