About The Position

This position serves as the administrative assistant to the Associate Superintendent, responsible for interpreting administrative policies, conducting research, coordinating calendars, preparing meeting materials, drafting correspondence, and managing appointments. The role requires independent judgment, the ability to handle sensitive information, and effective organization and prioritization skills. The secretary will also be responsible for making travel arrangements, processing paperwork, and ensuring efficient office operations through the use of technology. A key aspect of the role is to foster a positive and appreciative culture, interact with a diverse community, and provide excellent customer service. Professional development and maintaining professional relationships with the Board of Education, staff, and community are also essential.

Requirements

  • High school diploma required
  • Demonstrated working knowledge of Microsoft Office (Word, Excel, PowerPoint) and Google Suite (Google Docs, Sheets, Slides, etc…)
  • Demonstrated ability to appropriately interpret rules, regulations, and policies
  • Demonstrated ability to establish and maintain effective working relationships with employees and the public
  • Demonstrated ability to use discretion in handling sensitive and confidential information
  • Demonstrated ability to make independent decisions and guide/lead others
  • Expert ability to prioritize, plan, schedule and organize multiple tasks simultaneously and when under pressure
  • Demonstrated eagerness to seek and utilize technology to increase efficiency, organization, accuracy, and compliance
  • Demonstrated willingness to quickly and thoroughly learn and successfully utilize systems and processes, i.e. data management systems
  • Demonstrated ability to enhance a culture where employees feel valued and appreciated

  • Demonstrated excellence in customer service skills - oral and written
  • A minimum of three references must be included on the application - one character reference and two former supervisors or evaluators.

Nice To Haves

  • Associates’ Degree and/or advanced training in secretarial office procedures preferred
  • Minimum of five years’ successful experience in secretarial field
  • Demonstrated working knowledge of Skyward School Business Suite, preferred

Responsibilities

  • Act as administrative assistant to the Associate Superintendent
  • Interpret administrative policies and decisions and act accordingly
  • Conduct research on educational topics and prepare synopsis of same
  • Coordinate and maintain calendar of meetings, appointments
  • Prepare materials for meetings and appointments
  • Independently draft correspondence
  • Utilize independent judgment in carrying out duties of the office
  • Schedule and arrange for conferences, appointments; prepare materials
  • Maintain the Associate Superintendent’s calendar
  • Make travel arrangements, process paperwork, and submit documents to the Business Office
  • Meet a flexible work schedule as required/needed
  • Protect sensitive and confidential information
  • Effectively perform functions of the job under pressure
  • Take telephone calls and answer inquiries
  • Process emails and postal mail
  • Demonstrate excellent oral and written communication skills
  • Require a minimum of supervision in recommend and implementing innovation and efficient means of accomplishing office tasks
  • Provide outstanding customer service
  • Assemble and summarize information
  • Develop and maintain a professional working relationship with Board of Education members, District 118 staff, and community members
  • Continue professional development through reading, attendance at conferences, academic studies, and participation in associations related to areas of responsibility
  • Maintain poise and emotional stability in the full range of professional responsibilities
  • Perform other duties as required
