About The Position

The State of Connecticut, Department of Mental Health and Addiction Services (DMHAS) is hiring for a part-time Secretary 1 to join their team in the Office of the Commissioner (OOC), specifically within the Young Adult Services (YAS) unit. This role is crucial for providing comprehensive office support and administrative functions. Requirements

  • Two (2) years of experience above the routine clerk level in office support or secretarial work.
  • Considerable knowledge of office systems and procedures
  • Considerable knowledge of proper grammar, punctuation and spelling
  • Knowledge of business communications
  • Knowledge of business math
  • Interpersonal skills
  • Oral and written communication skills
  • Ability to schedule and prioritize office workflow
  • Ability to operate office equipment which includes computers, tablets, and other electronic equipment
  • Ability to operate office suite software
  • Ability to take notes (shorthand, speedwriting or other method acceptable to the supervisor).

Responsibilities

  • Schedule meetings and take and transcribe minutes accurately
  • Compile and enter data
  • Organize and process billing information
  • Answer phones and organize offices
  • Order supplies and file accurately
  • Create formats for letters, memos, and other documents
  • Assist with developing reports for YAS staff and/or YAS leadership
  • Perform a variety of secretarial duties including typing, filing, correspondence, report writing, interpersonal interactions, processing mail, coordinating meetings, taking notes, preparing expense accounts, and making travel arrangements.
  • Maintain an inventory of supplies and equipment, order supplies, and complete paperwork for purchasing.
  • Maintain time and attendance records.
