About The Position

The Search Operations Manager serves as the central strategic driver and operational anchor for Oxeon's search practice. This is a high-impact individual contributor role responsible for the end-to-end operational lifecycle of our business. You will function as a vital strategic advisor to firm leadership, ensuring that firm-wide resources—talent, capacity, and profitability—are optimized to drive organizational growth. This role is essential for transforming complex operational data into actionable insights, serving as a critical partner to the Head of Search Operations, the Executive Leadership Team, and the Finance and People teams.

Requirements

  • Bachelor’s Degree required.
  • Proven ability to drive alignment, draw clear lines in the sand, and influence senior partners without relying on formal hierarchical authority.
  • Exceptional emotional intelligence, situational awareness, and organizational empathy.
  • Ability to establish clear professional boundaries and diplomatically navigate sensitive staffing and performance conversations.
  • Masterful at translating complex pipeline data into clear, persuasive executive narratives, and comfortable providing data-backed counsel and constructive pushback to executive-level leaders.
  • Operates with an entrepreneurial mindset, balancing immediate, fast-paced commercial demands ("fire drills") with the deliberate focus required to build long-term scalable processes.
  • Seeking an individual looking to plant deep roots in this role and make a commitment to optimizing Oxeon's operational backbone.
  • 3–5 years of experience in a Chief of Staff, Business Operations, or cross-functional execution role within a high-growth, fast-paced environment (such as a venture studio, healthcare startup, or scaling enterprise).
  • 5–7 years of experience steering staffing, resource allocation, revenue operations, or project management within a highly consultative, fast-paced client services environment (e.g., Management Consulting, Law, Executive Search, or Creative Agencies).

Responsibilities

  • Manage the top-of-funnel Business Development (BD) sales pipeline in our CRM (Recruiterflow).
  • Review contract terms, draft new client retainers, and advise partners on fee structures to ensure data accuracy and profitability.
  • Serve as the central authority for project resource allocation.
  • Holistically evaluate team capacity, individual performance metrics, and partner dynamics to efficiently staff 56–60 active concurrent searches.
  • Navigate fast-paced, high-stakes communication with senior stakeholders.
  • Balance immediate commercial demands with long-term capacity management, utilizing "kind firmness" to prevent team burnout.
  • Monitor the velocity and performance patterns of our ~210 annual searches.
  • Proactively identify at-risk projects before they deviate from timelines and use data to spot macroeconomic or sector-specific trends (e.g., VC vs. PE speed).
  • Design, scale, and drive the firm-wide adoption of repeatable operational workflows and emerging AI tools to reduce structural friction.
  • Lead Oxeon’s post-search quality review and Net Promoter Score (NPS) processes, transforming client feedback into continuous operational improvements.
