About The Position

The School Secretary is responsible for organizing and directing all activities related to the operation and maintenance of the school office and finances, as designated by the school principal. This role requires adherence to established bookkeeping regulations, procedures for emergency situations, and maintaining student information files. The secretary will also manage communication with parents regarding student well-being, maintain a professional office environment, and ensure timely completion of records and reports. The position involves interacting positively with students, staff, parents, and visitors, while minimizing class interruptions and adhering to all school and district policies, including those related to attendance, professional conduct, and the Drug Free Workplace Act.

Requirements

  • High school diploma
  • Business school training or office experience that reflects a high level of skill in typing, filing, and general office procedures
  • Communication skills which encompass the ability to relate to students and adults and to speak and write standard English

Responsibilities

  • Follow general bookkeeping regulations as established by the Rapides Parish School Board.
  • Follow established procedures in emergency situations.
  • Maintain an up-to-date file of student information.
  • Maintain a neat, clean, and well-organized workspace.
  • Inform parents, according to established policy, when children are sick or hurt.
  • Utilize standard office procedures in letter writing, filing, and bookkeeping.
  • Employ telephone techniques that are reflective of a positive, professional, and ethical school environment.
  • Demonstrate sociability and warmth in attitude towards students, staff, parents, vendors, and other school visitors.
  • Avoid unnecessary class interruptions as indicated by Rapides Parish School Board.
  • Maintain a desk calendar as it relates to due dates of work projects, memos, and reports.
  • Be neat and accurate in completing assigned records and reports, turning these in promptly and on time.
  • Remain at school during the work day unless permission is obtained from the principal.
  • Follow federal, state, local, and assigned school laws, policies, and procedures.
  • Sign in and out by the appropriate method of the assigned school.
  • Use language that is void of vulgarity, lewdness, coarseness, or profanity.
  • Observe all policies and regulations as outlined in the Drug Free Workplace Act.
  • Demonstrate ability to adjust to new situations, showing poise in crisis or pressure situations, and mature understanding of problems.
  • Be in attendance and on time at work, except for personal illness or emergency, as defined by the policies of the Rapides Parish School Board.
  • Be loyal to the administration of the school system and the school.
  • Be professionally dressed and well-groomed, as established by the principal, according to board policy.
  • Maintain a schedule of systems and procedures that are reflective of good time management.
  • Perform any other duties assigned by the principal.
