The Academy is seeking a friendly, organized, and professional School Receptionist to join our team on a temporary basis from August through October, with the possibility of extending the assignment based on school needs. SUMMARY: The Receptionist is responsible for working with parents, students and staff in a people friendly customer service manner, paying attention to details. Employee shall perform the duties and responsibilities proficiently, professionally and in a collaborative manner consistent with the standards of care and quality that accompany the highest norms of the profession. Requirements

  • High school diploma (or equivalent) and 1-year experience as a receptionist or office clerk.
  • Criminal background check required for hire.
  • CPR and First Aid certifications to be obtained after hire.
  • Good clerical skills including English usage and spelling.
  • The ability to read, understand, interpret instructions, fill out forms and communicate in both oral and written form.
  • Good customer service skills.
  • People friendly and detailed oriented.
  • Must be flexible in job duties.
  • Knowledgeable in Colorado School Law, Authorizer policies, The Academy mission, philosophies, policies and administrative procedures.
  • Ability to maintain confidentiality in all aspects of the job.
  • Ability to manage multiple tasks with frequent interruptions.
  • Ability to manage multiple priorities.
  • Ability to diffuse and manage volatile and stressful situations.
  • Ability to communicate, interact and work effectively and cooperatively with people from diverse ethnic and educational backgrounds.
  • Basic Computer Operations including keyboarding and Microsoft Office.
  • Office equipment experience (copier, fax machine, postage meter, email etc.).
  • Experience with multi-line phone system and voice mail retrieval preferred; required with 2 weeks after hire.
  • Operating knowledge of applicable software applications required within 1 month after hire.
  • Operating knowledge of and experience with student information system preferred, required within two weeks of entering position.

Responsibilities

  • Primary responsibility for managing the front reception area in a people friendly and professional manner, greeting and assisting parents, students and staff.
  • Serve as the ambassador for the school answering the many questions asked by parents, students, and staff.
  • Security screening for front door, visitor sign in, etc.
  • Answer telephones and voicemail system, working knowledge of these systems.
  • Deliver communications and requests to staff and classrooms (voicemail, etc.).
  • Assist with projects and various clerical tasks (parent access to student information system etc.).
  • Manage front office equipment.
  • Collections of fees and money at main campus is handled by the Finance Department. Collection of non-classroom related fees and money at north campus is handled by this position following all Finance Department procedures.
  • Perform all required student attendance processes (record keeping, student passes etc.).
  • Maintain a professional working relationship between receptionist at each campus, including, but not limited to sharing of information, maintaining consistent best practices, and a willingness to work at each campus.
  • Refer to the front office procedure manual
  • Other duties as assigned.
  • Responsible for substitute coordinator procedures as outlined in that job description, and assigned by supervisor.
  • Oversee laminating equipment, supplies, and lamination.
  • Part of the Crisis Response Team and assist with all emergency drills.
  • May assist with monitoring of students who have not been picked up at the end of the school day. This duty is transitioned over to administration at the end of your scheduled time off.
  • May cover the health office during the health aide lunch and break times. This position will be med delegated by the school nurse.
