About The Position

The San Francisco Museum of Modern Art (SFMOMA) is a prominent cultural institution dedicated to modern and contemporary art, guided by values of inclusivity, passion, bravery, and empathy. This full-time position, requiring 35 hours per week with at least three days working onsite, is situated within the Education Department. The School Programs Assistant plays a crucial role in supporting the department's mission to create pedagogical and public programming for youth and adults, cultivating strong relationships with Bay Area K-12 schools (especially San Francisco Unified School District) and various community organizations. The department's educational philosophy emphasizes inquiry, collaboration, dialogue, debate, diverse perspectives, evidentiary reasoning, and multi-modal experiences. Reporting directly to the Manager of School Programs, the Assistant is primarily responsible for the scheduling and data management of K-12 and Higher Education visits and programs, ensuring their efficient delivery and smooth operation. This includes the assembly and distribution of resources for K-12 school programs and serving as the main point of contact for all internal and external inquiries regarding K-12 School and Higher Education visit scheduling at SFMOMA. Key milestones for the first year in this role involve establishing a comprehensive understanding of key programs and processes, developing departmental and cross-divisional relationships, taking on increased project-management responsibility, and refining workflows.

Requirements

  • Bachelor's degree (B.A.) or equivalent combination of education and experience in office settings.
  • Two (2) years of proven administrative experience, preferably in a museum or related non-profit/educational or client service organization.

  • Demonstrated organizational skills and a keen attention to detail, with the ability to organize work, set priorities, and meet critical deadlines.
  • Exceptional verbal and written communication skills to address a wide variety of audiences.
  • Exhibits an awareness and sensitivity to cultural and other differences when working with partner organizations, staff, program participants, artists, other stakeholders, and the general public.
  • Must be able to visually inspect work.
  • Ability to work with a computer and headset/phone for extended periods.
  • Light lifting of furniture and resources, and ability to move around a space.
  • Ability to travel locally.
  • Ability to register for a Lyft for Business account with SFMOMA.
  • Availability to work evenings and weekends, as needed.
  • Successfully clear a background check screening and be fingerprinted.

Responsibilities

  • Field high volume of requests for K-12 school group and Higher Education visits, responding to inquiries in a timely manner and providing accurate information to educators about SFMOMA’s K-12 school group and Higher Education offerings.
  • Ensure that teachers understand the full range of programs offered and that they feel welcome and accommodated at the museum.
  • Check and respond to School Tour and Higher Education e-mail inboxes for visit requests, general information, and confirmations, and follow up accordingly.
  • Schedule K-12 school visits and programs, as well as Higher Education visits offered by the Education Department.
  • Process bookings, ticketing, and send group confirmations and visit instructions.
  • Create, update, and maintain accurate constituent information within and between Tessitura (CRM) and Artifax (Venue Management), including biographical and relationship information and reporting.
  • Maintain an accurate, detailed database on all active K-2 museum educators and school guides, including contact information, tour schedules, and activity reports.
  • Reconcile end of year K-12 School and Higher Education visit attendance in Tessitura.
  • Track and report on K-12 and Higher Education tour/program attendance, demographics, and statistics.
  • Work with the Manager of School Programs, Operations, Security, Exhibitions, A/V, and Visitor Experience to ensure the daily operations of on-site school programs run smoothly, including logistical support (space bookings, room setup, security requests, etc.) for K-12 school and Higher Education visits, entrance and check-in of groups, and communication of daily school visits schedule to other museum departments, particularly Security, Operations, and Visitor Experience.
  • Work directly with Visitor Experience staff to provide information and check-in packets for self-guided groups.
  • Welcome and check-in scheduled K-12 school visits, summer school/youth group tours, and Higher Education groups and serve as liaison with teachers, instructors and group leaders to ensure all scheduling and logistical details regarding visits are handled efficiently.
  • Work with the Creative Services team to ensure accurate and timely communications about K-12 school and Higher Education visits and that applications for these programs are available via sfmoma.org, print pieces, and newsletters.
  • Conduct K-12 school tours, as needed.
  • Inventory and maintain materials, supplies, and resources for use on school programs.
  • Coordinate assembly and delivery of art kits to SFUSD classrooms.
  • Contribute to the evaluation and assessment of K-12 school and Higher Education programs and events.
  • Contribute to, support, and participate in Departmental and cross-Division events and programs, including some evenings and weekends.
  • Demonstrate a deep commitment to inclusion, diversity, equity, and access, both within and with the communities of diverse cultures, backgrounds, and gender identities served.
  • Participate in and contribute to departmental, divisional, and organizational meetings, committees, and working groups.
  • Perform other tasks and duties as may reasonably be requested.
