School Operations Manager - ExcelPrep, San Antonio, TX Mission-driven role overseeing daily operations at a private program serving neurodiverse children. On-site in San Antonio, Texas. About ExcelPrep ExcelPrep is a mission-driven private program serving neurodiverse children through structured, research-based instruction. Our mission is to improve the academic and social success of neurodiverse learners. We deliver high-quality academic and therapeutic programming that supports meaningful learning outcomes. ExcelPrep offers two distinct programs for learners ages 3-13: PreK–8 Academic Program: Direct Instruction and Precision Teaching for core academics (reading, writing, math) in a structured, data-driven environment. Clinical ABA Program (Ages 3–13): Cognition-linguistically based ABA focusing on language, reasoning, executive functioning, social competence, and independence. Across ExcelPrep, we center: Direct Instruction and instructional design Precision Teaching and data-based decision making Behavior science research foundations Occupational Therapy as a prioritized therapy alongside ABA for sensory-motor development Our mission is to provide a nurturing, academically focused learning environment where neurodiverse students develop strong academic foundations, cognitive-linguistic skills, and the confidence to succeed in school and beyond. The Role: School Operations Manager We’re seeking a proactive, collaborative School Operations Manager to oversee the operational backbone of our San Antonio site. You’ll partner with program leaders (OT, BCBA, SLP, teachers), support staff, families, and administration to ensure smooth, compliant, and efficient school operations that enable high-quality instruction and therapy. Key focus areas: Oversee daily on-site operations, facilities, safety, and administrative processes Coordinate scheduling for classrooms, therapy rooms, and shared spaces to maximize instructional time Manage administrative staff (front desk, attendance, records, admissions) and vendor relationships Monitor regulatory compliance (FERPA/privacy, health and safety, state/IDEA requirements) and school policies Support enrollment processes, onboarding, and family communications Manage budget, procurement, inventory, and asset management Collaborate with program leaders to streamline workflows and data reporting Lead safety drills, accessibility improvements, and emergency preparedness Drive process improvements and project management to support growing programs

Requirements

  • Bachelor’s degree in Education Administration, Business, Project Management, or a related field; Master’s preferred
  • 3–5+ years of operations/administrative management experience in a school or education-focused setting
  • Strong organizational, problem-solving, and project management skills
  • Excellent communication and collaboration abilities; comfortable working with families, teachers, therapists, and administrators
  • Experience with scheduling, budgeting, facilities, and vendor management
  • Familiarity with FERPA, privacy laws, and school policy compliance a plus
  • Proactive, data-driven decision maker with attention to detail
  • Bilingual (English/Spanish) and experience serving Spanish-speaking families is a plus

Responsibilities

  • Supervise administrative operations, front-desk and support staff; ensure smooth day-to-day function
  • Maintain accurate student records, attendance, and compliance documentation
  • Manage facilities maintenance, safety protocols, cleanliness, and accessibility
  • Coordinate scheduling across PreK–8 and ABA spaces; optimize room usage and equipment
  • Oversee procurement, inventory, and vendor management (repairs, supplies, tech)
  • Prepare and monitor site budget; track expenditures; provide timely financial reporting
  • Support HR processes (staff onboarding, credentialing, timesheets) as needed
  • Collaborate with OT, BCBA, SLP, teachers, and leadership on program needs and logistics
  • Represent the site in meetings, trainings, and family communications
  • Lead quality improvement initiatives and assist with audits and inspections
