About The Position

This role supports the school and its community by providing administrative and clerical support to the School Office Manager in the day-to-day operations of the school office. The position involves supporting the Principal and/or Teachers, managing student and staff attendance, performing data entry and record-keeping, maintaining school-wide communications (newsletter, calendar, website/social media), and managing office equipment and supplies. The School Office Assistant also serves as the receptionist, providing customer service to students, parents, volunteers, and staff, and handling inquiries via phone, email, and in person. Responsibilities include processing enrollment and withdrawal procedures, and coordinating with vendors and community organizations. The role requires acting as a role model of professionalism in a Catholic environment, supporting the school's philosophy, policies, and goals, and ensuring the health, safety, and welfare of all students. Adherence to all policies and procedures is mandatory, along with working collaboratively as part of a team and attending necessary meetings.

Requirements

  • High school diploma.
  • Excellent written and oral communication skills.
  • Ability to effectively communicate with all stakeholders of the school.
  • Proficient at word processing, presentation, and electronic mail applications.
  • Proficient with Word, Excel, PowerPoint, and Google applications.
  • Exhibit flexibility in day-to-day school environments.
  • Excellent organizational and human relations skills.
  • Self-motivated and reliable.
  • Able to establish and maintain positive, effective working relationships with principal, parents, staff, and the general public.
  • Able to manage moderate levels of stress and frequent interruption.
  • Outstanding interpersonal skills with a strong customer service focus (internal and external).
  • Ethical and discreet team player.
  • Sitting, standing, walking, reaching, lifting, repetitive motion, bending, stooping, crouching, climbing, stretching, twisting.
  • Can lift 10 lbs. in compliance with safety standards.

Nice To Haves

  • Some college coursework.
  • Experience in clerical/secretarial work, including word processing.
  • Prior experience in a public-school setting or institution of higher education.
  • Experience with school information systems (SIS).
  • Working knowledge of Workday, or willingness to learn.
  • Bilingual (English/Spanish or English/Vietnamese).

Responsibilities

  • Provide administrative and clerical support to the School Office Manager, Principal, and/or Teachers.
  • Record student and school staff attendance.
  • Perform data-entry, file maintenance, and record-keeping, including Student Cumulative Record files.
  • Maintain school-wide communications, including the newsletter, school calendar, and website/social media.
  • Maintain office equipment and supplies, and make copies.
  • Serve as receptionist and provide customer service to all visitors.
  • Answer and respond to inquiries via telephone, email, and in-person.
  • Coordinate with vendors and community organizations.
  • Process enrollment materials for returning and new students and complete data input.
  • Process outgoing procedures for students withdrawing from the school.
  • Act as a role model of professionalism in a Catholic environment.
  • Support the philosophy, policies, and goals of the school.
  • Ensure the health, safety, and welfare of all students.
  • Adhere to all policies and procedures.
  • Work as part of a team.
  • Attend faculty, administrative, and other meetings as needed.
