About The Position

The school-level Data Manager is the liaison between the school administration and the LEA Coordinator. This employee performs a variety of complex technical and computer support functions for the electronic student database. Work at this level requires substantial knowledge of student accounting procedures and regulations, source data, and the functionality of the electronic student database in order to support school operations and to generate federal, state, and local electronic files effectively. The school-level Data Manager reports to the school principal.

Requirements

High School Graduate
Community College Degree or Business Curriculum.
Thorough knowledge of office practices and procedures.
Knowledge to operate a computer and run computer programs.
General knowledge of spreadsheets and file maintenance.
Ability to plan and organize work activities.
Coordinating skills to schedule student classes, enroll and withdraw students, maintain accurate attendance records, and disburse monthly reports in an accurate and timely manner.
Administrative skills to interpret county and state policies governing attendance, discipline, immunizations, and health records.
Good communication skills.
Thorough knowledge of and ability to use grammar, vocabulary, spelling, and punctuation.
Ability to exercise sound judgment in resolving problems.

Responsibilities

Uses an electronic student database to maintain student records, which includes enrollments, withdrawals, demographic data, student contacts, immunization records, discipline data, etc.
Prepares and maintains records of daily student attendance, absences, absence notes and tardies through the use of the electronic student database.
Prepares attendance reports and reconciles computer reports (PMR) monthly; generate and mail absence letters on a daily/weekly basis as required by the Compulsory Attendance Law.
Prepares and establishes master school schedules which include courses, classrooms, time periods, teachers, and other relevant information; run student schedules and input schedule changes and corrections.
Performs advanced scheduling which includes assisting administrators and the scheduling team in the scheduling process, identifying and resolving scheduling conflicts; make preparations for closing the school year and prepares the framework for transitioning into the next school year.
Responsible for identifying errors and reconciliation of required local agency, state, and federal reports (PMR, SAR, Retention/Promotion, Dropout Reporting, Discipline Reporting, Legislative Class Size, etc. on the state reporting dashboard in the electronic student database.
Generates reports for driver’s license revocation (State Automated Driver’s License System __SADLS) each semester -high school data managers only
Prepares and distributes academic related reports (Report Cards, Student Transcripts, etc.).
Maintains records in electronic student database of exceptional students being served.
Inputs and maintains information on student testing accommodations.
Records and maintains student disciplinary actions and suspensions, and prepares periodic statistical reports as appropriate.
Troubleshoots and provides technical support for electronic student database within the school; serves as a liaison and contact person to the central office Data Coordinator.
Sets up and maintains school-based electronic student database user accounts.
Performs other duties and responsibilities as assigned by the school administrator or LEA designee.
