The Inter-Industry Conference on Auto Collision Repair (I-CAR) is a growing, not-for-profit organization, headquartered in Hoffman Estates, Illinois, serving the automotive collision repair industry globally. The organization was established by representatives of the collision collision repair, automotive, and insurance industries in 1979 and has doubled its revenue over the last six years. Today, the I-CAR brand is stronger than it has been in 40 years of operation and has gained a worldwide reputation. There is momentum and excitement among its committed workforce, instructors and volunteers to continue to help the organization grow and expand its breadth of reach and scale. I-CAR leadership believes that the future of the organization will be importantly influenced by its continuing innovation and relevance of its products, technical programs and services. This position will be responsible for ensuring all I-CAR events are scheduled and instructors assigned in an efficient manner that promotes product integrity and supports organizational needs. The Scheduling Support Specialist will work under the direction of the Scheduling Support Manager to ensure all major milestones are met and the output is accurate and compliant. This position will need to be located near one of the following I-CAR offices; Appleton, WI, Hoffman Estates, IL or Vernon Hills, IL.

Requirements

  • High School Graduate or General Education Degree (GED)
  • Two to four years of administrative experience is required.
  • Minimum two years’ experience in an office environment.

Nice To Haves

  • Some advanced education in an office or administrative program desired.

Responsibilities

  • Posting I-CAR courses of various types using specifically developed processes.
  • Assigning instructors for necessary I-CAR courses using processes developed.
  • Take necessary actions based upon information received from Scheduling Support Manager, Regional Manager, instructor or customer.
  • Analyze incoming emails, submissions and requests to determine their significance, and prioritize them according to department procedures.
  • Answer phones and make calls to respond and follow up on inquiries and requests.
  • Perform general office duties such as making copies, filing, data entry and answering phones.
  • Train others on any part of current work process, when necessary.
  • Actively participate in organizational and departmental process improvement.
  • When assigned, act as a SME to support new company offerings.
  • Participate in training to further personal skillset.
  • Prepare reports and documents using word processing, spreadsheet, database, or presentation software.
  • Work with other departments within the organization, when needed, to support organizational needs.
  • Consistently meet goals set by Scheduling Support Manager.
