About The Position

The Scheduling Specialist III assists in the coordination of Patient Procedure/Surgical schedules, including the coordination of multiple, highly complex appointments across multiple departments, programs, and specialties. Responsibilities include insurance verification, assisting with the pre-authorization process, and acting as a liaison between the providers and patients. This role develops the master schedule for procedures and coordinates the entire case resource needs. The Scheduling Specialist III interacts directly with patients and works in a high call volume environment. They accurately schedule procedures, document correct diagnosis and referring physician, and pre-register patients accurately via an assigned tracking system. This role obtains correct and thorough insurance benefits, employer/guarantor information, and patient demographics. They accommodate requests from patients and physician offices for STAT/same-day add-on exams. The Scheduling Specialist III provides updates to patients and physicians on the timing and status of authorizations. Once pre-authorization is complete and the appointment is scheduled, they create scheduling options/itineraries. This role maintains calendars for meetings and patient consultation, simulation, and follow-up appointments for physicians. They act as a resource to others for Medical Clinics, register new patients in hospital systems, and obtain authorizations for diagnostic studies and faxes needed medical records for clinical review. Additionally, the Scheduling Specialist III participates in continuous quality improvement processes, maintains a working knowledge of departmental standard operating procedures, including the use of specialized instrumentation, Quality Control requirements, and preventative maintenance, and maintains confidentiality. Other duties as assigned. For Interventional Radiology, this role submits authorizations for IR Patients referred by IR Radiologists and obtains authorizations from referring physicians, verifies patient pre-procedure diagnostic imaging and clearances are sufficient, and provides coverage for Lead Clerk between both campuses, as needed. For Infusion, this role conducts patient check-in and check-out, identifies patient needs for additional supportive resources (i.e., caregivers and transportation), and confirms and schedules additional appointments as needed.
