About The Position

The Scheduling Secretary for Outpatient Imaging Services plays a crucial role in managing patient appointments for diagnostic imaging. This position involves receiving appointment requests primarily via telephone, utilizing an online scheduling system to find availability, and booking appointments. The secretary is responsible for gathering necessary information from various sources to complete online patient records and preparing these records prior to patient appointments. Requirements

  • High school level of knowledge, including familiarity with personal computers.
  • Three to six months of related experience, demonstrating effective interpersonal and customer service skills.
  • Familiarity with computer systems to access and enter data.
  • Effective organizational skills.
  • Experience with medical terminology.
  • Experience in a medical setting, preferably in Diagnostic Imaging.
  • Additional one to three months of on-the-job experience to become familiar with department policies and procedures, scheduling processes, and electronic records compilation and maintenance.

Responsibilities

  • Receives requests from physician offices, patients, and others for diagnostic imaging services.
  • Accesses the on-line scheduling system for the appropriate modality, determines availability to meet needs, and schedules appointments.
  • Prepares and sends appointment confirmations and related questionnaires or documents using approved electronic or manual formats.
  • Obtains information necessary to establish or update electronic patient records, including demographic details, insurance verification, and referring physician information.
  • Obtains physician orders, verifies completeness and accuracy, and scans documents for inclusion in the patient record.
  • Obtains missing patient data, such as treatment, lab, and/or other imaging results, from internal and external sources to ensure the completeness of the electronic patient record prior to the appointment.
  • Coordinates record preparation and document compilation of other materials or imaging records from prior visits with hospital-based imaging business support staff.
  • Advises appropriate personnel on the availability and status of electronic records.
  • Contacts insurance representatives to confirm coverage or obtain pre-authorization for services where required, ensuring the record is updated accordingly.
  • Provides information to physician's offices or patients regarding the registration process, exam preparation, questionnaire completion instructions, and directions to the hospital.
  • May receive requests for copies of image files and prepare copies of documents from the electronic record or refer requests to the hospital-based imaging services file room staff.
