About The Position
The Scheduling Representative is responsible for managing patient appointments, diagnostic tests, surgeries, and procedures. This role involves verifying patient information, coordinating schedules, and ensuring compliance with hospital protocols. The representative will also handle prior authorizations, communicate appointment details to patients, and resolve scheduling conflicts.
Requirements
- Completes annual educational requirements within the assigned time frame
- Maintains regulatory requirements, including all state, federal and Joint Commission regulations related to their department and, as appropriate, to the hospital
Responsibilities
- Schedule, reschedule, and cancel patient appointments, diagnostic tests, surgeries, and procedures
- Verify patient demographics, insurance information, and referral requirements
- Answer inbound calls and respond to patient inquiries professionally and compassionately
- Coordinate schedules between physicians, departments, and patients
- Ensure all appointments comply with physician availability and hospital protocols
- Obtain prior authorizations and referrals when required
- Communicate appointment instructions, preparation requirements, and follow-up information to patients
- Monitor scheduling conflicts and resolve issues promptly
- Schedules hospital based medical procedures, for patients with appropriate provider and time/location slot. Utilizing appropriate scheduling codes to maximize efficiency
- Enters notes & special instructions needed for the procedure in the proper areas
- Works in the PLE to provide an estimate of the procedure to the patient
