Requirements

Must be 18 years or older
High school diploma or equivalent
Strong verbal communication and customer service skills
A compassionate, respectful, and professional approach when working with clients and families
Ability to quickly build rapport and maintain positive relationships
Fluency in both English and Spanish (required; proficiency assessment required)

Nice To Haves

Proficiency with computers, including typing and Microsoft Office Suite
Experience in a medical office or familiarity with medical terminology
Comfort using standard office equipment (phones, printers, fax machines, payment systems)

Responsibilities

Serve as the first point of contact by answering calls to our central scheduling line with warmth, professionalism, and efficiency
Schedule, reschedule, and cancel appointments while ensuring accuracy and timeliness
Act as a primary contact for Spanish-speaking clients, providing clear and supportive communication
Coordinate closely with clinical and medical staff to understand scheduling needs, preferences, and waitlists
Communicate essential appointment details and next steps to clients
Update and manage appointment changes, including those made through automated systems
Utilize DBH's electronic medical record (EMR) system while maintaining strict adherence to HIPAA and privacy standards
Screen calls, route messages appropriately, and provide helpful information to clients and team members
Support additional administrative tasks as needed to meet organizational needs
