About The Position

Grand Rapids Family Orthodontics is seeking an enthusiastic Scheduling Coordinator to join their thriving practice. Requirements

  • High school diploma or equivalent
  • At least two years related experience required OR Minimum two years of experience in dentistry, preferably orthodontics.

Responsibilities

  • Manage the Schedule with Precision: Greet and check in patients, fill open appointment slots, handle scheduling challenges with professionalism, and ensure a productive daily flow.
  • Deliver Outstanding Patient Service: Welcome new patients, answer calls with care, and follow up on missed or emergency appointments.
  • Coordinate Daily Operations: Prepare morning meeting reports, facilitate staff huddles, and communicate with clinical and financial teams to ensure seamless patient care.
  • Support Administrative Tasks: Process payments, send records, manage mail, maintain organized files, and keep the reception area clean and inviting.
  • Maintain Scheduling Systems: Monitor appointment confirmations, update patient statuses, and manage recall and retention systems to keep patients engaged and on track.
  • Handle Special Communications: Respond to inquiries from referral dentists, second-opinion callers, and new patient inquiries with professionalism and warmth.
  • Keep the Office Stocked & Organized: Order supplies and ensure the front desk is fully equipped for daily operations.
  • Be a Team Player: Participate in staff meetings, take notes, assist with miscellaneous tasks, and foster a culture of trust, respect, and cooperation across the team.
