About The Position

The Scheduling and Registration Specialist supports the efforts of the Curriculum Operations team in the Office of the University Registrar (OUR) and reports to the Assistant University Registrar for Scheduling and Registration. The position supports team efforts to maintain course and course sections records and registration in the student system of record, Workday. The position collaborates with OUR team members, the student system support team and relevant vendors, and campus partners preparing course offerings and maintaining registration configurations.

Nice To Haves

  • College/university administration, preferably in a registrar’s office or information systems.
  • Familiarity with policies and procedures of a university, specifically those that relate to academic records and registration.
  • Experience with education technologies in degree audit/progress or registration.

Responsibilities

  • Provides proactive, quality customer service when guiding scheduling managers through the scheduling process; assists with efforts to guide schedulers in effectively using Workday and related systems to schedule course sections and request academic space and generally engage with OUR.
  • Monitors preliminary sections reports for errors and notifies school/department scheduling officers of update needed; supports updates to section dates/date controls for short/dynamically dated sections prior to publication.
  • Reviews course offering and section scheduling records to verify contact time and curricular policy compliance.
  • Works with school/department scheduling officers to ensure eligibility rules and reserve capacities are correctly set each term; engage with requests to adjust or create new rules.
  • Assists with monitoring and purging waitlists each term.
  • Works with scheduling managers to ensure instructors are listed for all active classes with the correct teaching percentage by the production calendar deadline.
  • Participates in and supports review of requests for non-standard meeting patterns and active learning classrooms and development of creative solutions to meet pedagogical needs, minimizes conflicts and maximizes space while meeting applicable policies and guidelines related to course scheduling and room reservations.
  • Supports appropriate documentation of process and outcomes.
  • Participates in analysis and review of section registration and scheduling patterns to support demand planning and section configuration tactics.
  • Supports course creation and development, course section editing, and publishing as part of OUR Curriculum Operations team.
  • Monitors registration and addresses support requests from students, advisors and campus partners, troubleshooting general registration-related issues.
  • Assists and coordinates mass registration, communications, BP monitoring for waitlist and eligibility rule overrides, and under-enrollment reports.
  • Coordinates with OUR colleagues, Workday Support Team and WashU IT in maintaining system and integrations, i.e., testing and engaging with upgrades and ongoing maintenance.
  • Addresses support requests from campus partners and students and escalates as necessary in alignment with Workday support delivery model.
  • Participates fully in operational process and communication practices to ensure shared work within OUR teams is effectively executed across all functions according to the production calendar.
  • Performs other duties as assigned; engages in professional development activities and studies to improve professional skills, stays current on regulations and best practices; and effectively represents OUR and WashU in St. Louis.
