About The Position

The Scheduler is responsible for coordinating outpatient diagnostic testing appointments in a timely, accurate, and customer-focused manner. This role serves as a primary communication link between physician offices, patients, and hospital departments to ensure appropriate scheduling, preparation, and registration of services. The Scheduler is responsible for maintaining accurate patient information, verifying insurance, and ensuring patients receive clear instructions for scheduled procedures.

Requirements

  • High school diploma or equivalent required
  • Strong knowledge of medical terminology and insurance verification processes
  • Ability to accurately schedule, reschedule, and cancel patient appointments
  • Strong customer service and communication skills in a healthcare setting
  • Ability to work independently with attention to detail and accuracy
  • Proficiency with computer systems and standard office software
  • Ability to type a minimum of 35 words per minute
  • Ability to manage multiple tasks in a fast-paced environment

Responsibilities

  • Schedule, reschedule, and cancel outpatient diagnostic testing appointments accurately and efficiently
  • Pre-register patients and ensure complete and accurate demographic and insurance information
  • Verify insurance coverage and communicate financial responsibilities to patients when applicable
  • Provide patients with clear preparation instructions for diagnostic testing
  • Answer incoming calls and route messages appropriately in a timely and professional manner
  • Serve as liaison between physician offices and hospital departments regarding scheduling needs
  • Coordinate scheduling for special procedures requiring anesthesia, radiology, or additional resources
  • Ensure compliance with insurance requirements, including medical necessity checks for Medicare patients
  • Refer uninsured or underinsured patients to financial assistance resources as appropriate
  • Maintain accurate documentation in scheduling and registration systems
  • Greet patients and callers using AIDET and hospital service standards
  • Maintain organized records and perform clerical support duties as assigned
  • Perform additional duties as assigned by leadership
