About The Position

Nurse Scheduler Keep the Team Ready. Keep Care Moving. At Parkway Health & Rehabilitation Center, every shift matters. As our Nurse Scheduler, you'll play a critical role in ensuring our nursing teams are properly staffed, organized, and prepared to provide exceptional care to our residents. Located in Boston, Parkway is a 141-bed skilled nursing and rehabilitation community providing both Short-Term Rehabilitation and Long-Term Care. Our interdisciplinary team supports residents recovering from illness, injury, or surgery, as well as those who require ongoing skilled nursing care. As Nurse Scheduler, you'll work closely with nursing leadership, Human Resources, employees, and agency partners to coordinate staffing in a fast-paced healthcare environment where accuracy, communication, and attention to detail make a real difference. You'll take ownership of the nursing schedule, balancing staffing needs with census, employee availability, PTO, attendance, leaves of absence, and budgeted staffing guidelines. You'll also help maintain accurate timekeeping and payroll information while ensuring leadership has the information needed to make effective daily staffing decisions. Requirements

  • High school diploma or GED equivalent required
  • At least one (1) year of related experience in a high-volume environment, preferably in healthcare staffing, scheduling, operations, or a similar role
  • Previous scheduling or staffing experience strongly preferred
  • Experience with scheduling and/or timekeeping software preferred
  • Proficiency with Microsoft Excel and other Microsoft Office applications
  • Experience with Kronos or similar timekeeping/scheduling systems strongly preferred
  • Prior experience as a CNA or Medication Technician is a plus
  • Strong organizational skills and exceptional attention to detail
  • Ability to prioritize competing needs and make sound decisions in a fast-paced environment
  • Strong verbal and written communication skills
  • Ability to maintain confidentiality and handle sensitive employee and resident information with professionalism
  • Reliable, dependable, and comfortable working collaboratively with nursing leadership and interdisciplinary teams
  • This position requires regular interaction with residents, coworkers, visitors, and/or supervisors. In order to ensure a safe work environment for residents, coworkers, visitors, and/or supervisors of the Company, and to permit unfettered communication between the employee and those residents, coworkers, visitors, and supervisors, this position requires that the employee be able to read, write, speak, and understand the English language at an intermediate or more advanced level.

Responsibilities

  • Develop, maintain, and update the master nursing schedule based on staffing needs, census, employee availability, and established guidelines
  • Prepare and distribute daily staffing assignments and make adjustments for call-outs, PTO, schedule changes, and other staffing needs
  • Coordinate staffing with the Director of Nursing and nursing leadership to maintain safe and appropriate staffing levels
  • Track open nursing shifts and communicate staffing needs to nursing leadership and Human Resources
  • Coordinate with agency staffing partners as needed and maintain positive, professional relationships
  • Ensure orientation schedules for new nursing employees are incorporated into daily staffing plans
  • Maintain appropriate backup coverage and ensure another team member is trained on essential scheduling responsibilities
  • Manage scheduling and timekeeping information within the facility's designated systems
  • Review daily exception reports, missed punches, and shift deviations for accuracy
  • Reconcile timecards and assist with payroll preparation for nursing and nursing administration
  • Process approved PTO and other time-off requests while monitoring available balances and staffing impact
  • Track attendance and call-outs in accordance with facility policy and communicate concerns to Human Resources
  • Assist with identifying staffing and payroll variances against established budgetary guidelines
  • Prepare daily and weekly staffing reports for nursing leadership
  • Compile required staffing information for regulatory and Department of Health reporting
  • Maintain accurate scheduling records, forms, and related documentation
  • Support accurate reporting related to census, staffing hours, and nursing coverage
  • Maintain confidentiality of employee and resident information in accordance with HIPAA and company policies
  • Maintain consistent communication with the Director of Nursing, Assistant Director of Nursing, Human Resources, and department leadership
  • Participate in staffing meetings to review open positions, PTO, leaves of absence, and upcoming staffing needs
  • Communicate schedule changes clearly and promptly with employees and leadership
  • Provide professional and responsive customer service to employees regarding scheduling and timekeeping questions
  • Support Central Supply by coordinating collection of unit par-level sheets and assisting with weekly replenishment orders as assigned
