About The Position

Preferred Health Care is a homecare agency seeking a dedicated Scheduler to manage day-to-day office tasks. This role is crucial for ensuring seamless operations by matching caregivers with clients based on skills, availability, geographic proximity, and client preferences. The scheduler will handle various shift types, including hourly, live-in, overnight, and split shifts, as well as on-call coverage. A key aspect of this role involves verifying caregiver credentials, background check status, and training compliance to adhere to home care regulations. The dynamic nature of home care requires a scheduler who can effectively manage call-out replacement workflows, emergency fill-in logic, and utilize backup caregiver pools. This position also involves automatic conflict detection to prevent double booking and overtime issues, and the ability to broadcast last-minute shifts to available caregivers.

Responsibilities

  • Assign caregivers to clients based on skill match, availability, geographic proximity, and client preferences.
  • Support scheduling for hourly shifts, live-in cases, overnight shifts, split shifts, and on-call coverage.
  • Verify caregiver credentials, including expiration dates, background check status, and training compliance.
  • Manage call-out replacement workflows and emergency fill-in logic.
  • Utilize waitlist or backup caregiver pools.
  • Perform automatic conflict detection to prevent double booking and overtime.
  • Broadcast last-minute shifts to available caregivers.
  • Respond to caregiver call-outs (sick, emergency, no-show).
  • Verify shift details (client, time, duties) when a caregiver calls out.
  • Assess the urgency of a call-out based on client acuity.
  • Document the reason for caregiver absence.
  • Identify qualified replacement caregivers for open shifts, considering required skills/certifications, client preferences, hours/overtime limits, and distance/travel feasibility.
  • Contact available caregivers in priority order to confirm shift acceptance.
  • Handle last-minute or same-day coverage crises.
  • Coordinate live-in replacements if needed.
  • Escalate coverage issues to management if a caregiver cannot be found.
