It also includes greeting and directing visitors, answering routine inquiries, and maintaining a log of inquiries as required. The role performs various typing assignments, including medical transcription, and operates a computer for drafting correspondence, data entry, and printing reports. The Scheduler will also perform specialized clerical/administrative services according to established guidelines. Key duties include scheduling patients and physicians for office visits, radiation treatment, chemotherapy infusion treatment, and nurse practitioner follow-ups, as well as coordinating with the healthcare team to provide patient care. The role also provides direct patient care under the supervision of a Registered Nurse. When scheduling appointments, the Scheduler screens patients for new address, new patient visits, or registration updates and inputs information into the scheduling system. General office duties such as word processing, copying, filing, faxing, answering phones, and data entry are also part of the role. Other duties as assigned.

Requirements

  • High School diploma or equivalent preferred.
  • Two (2) years of experience in a private physician’s office or group practice preferred.
  • Previous experience as a receptionist and/or scheduler for a medical office is preferred.
  • Must have current BLS or obtain within 60 days of hire and must maintain BLS throughout employment with IMH.
  • Proficient in the operation of basic office equipment including phone system, fax machine, copy machine, computer, etc.
  • Excellent customer service skills, including but not limited to: a friendly personality, tact, patience, empathy and a helpful, professional attitude both in person and on the telephone.
  • Ability to effectively communicate with staff, managers and the general public verbally and in writing.
  • Demonstrate effective listening skills.
  • Excellent organization and time management skills and ability to establish priorities effectively.
  • Possess exceptional problem solving skills.
  • Ability to work effectively without immediate supervision.
  • Ability to learn new computer software programs.

Responsibilities

  • Answers telephones, routes calls, takes messages and provides general information.
  • Greets and directs visitors; answers routine inquiries; maintains log of inquiries as required.
  • Performs a variety of routine typing assignments including medical transcription.
  • Operates a computer to draft correspondence, enter data and print letters, labels, reports and/or other materials.
  • Types and mails correspondence.
  • May perform specialized services of a routine clerical/administrative nature in strict accordance with established procedural guidelines.
  • Schedules patients and physicians for office visits, radiation treatment, chemotherapy infusion treatment and nurse practitioner follow ups.
  • Coordinates with health care team to provide patient care, treatment and services.
  • Provides direct patient care under the supervision of a Registered Nurse.
  • Carefully screens patients for new address, new patient visit or update registration when scheduling appointments.
  • Inputs information into scheduling system.
  • Performs day-to-day scheduling functions and general office duties including but not limited to word processing, copying, filing, faxing, answering phones and data entry.
