The Scheduler and Finance Administrator supports the effective delivery of Tribunal operations by coordinating scheduling activities, providing administrative support to Tribunal Members and the Chair, and administering financial processes including budgeting, procurement, contract administration, invoice processing, and expenditure reconciliation. The role ensures compliance with Government of Alberta (GoA) policies and procedures while supporting the efficient operation of Tribunal service. In this role, you will play a key part in supporting the Tribunal's mandate by ensuring hearings, mediations, and administrative processes are coordinated efficiently and effectively. Through strong scheduling, financial administration, policy compliance, and stakeholder support, you will help maintain the timely, fair, and independent delivery of dispute resolution services while contributing to the overall success of Tribunal operations.

Requirements

  • Knowledge of Government of Alberta administrative and financial policies and procedures.

  • Ability to work independently and exercise sound judgment.
  • High school diploma plus three years of related experience in providing administrative support, scheduling, coordinating calendars and processing invoices.
  • Equivalencies will be considered on the basis of one year experience for one year of education or one year of education for one year of experience.

Nice To Haves

  • Experience with budgeting, procurement, contract administration, and financial reconciliation.
  • Experience working in a tribunal, quasi-judicial, legal, or regulatory environment.
  • Experience coordinating complex schedules, calendars, meetings, or hearings.
  • Knowledge of Government of Alberta administrative and financial processes.
  • Proficiency with Microsoft Office Suite and enterprise financial systems (e.g., 1GX).

Responsibilities

  • Coordinate Tribunal Member schedules, availability calendars, hearings, meetings, training sessions, and travel arrangements.
  • Provide administrative support to the Tribunal Chair and Members, including meeting coordination, agenda preparation, minute-taking, and maintaining contact records.
  • Track Tribunal Member appointments and reappointments to ensure continuity of operations.
  • Prepare budget forecasts, monitor expenditures, and maintain accurate financial records and reporting.
  • Process invoices, honorarium claims, expense claims, procurement card transactions, and financial adjustments in accordance with GoA policies.
  • Reconcile financial reports, investigate discrepancies, and ensure compliance with financial controls and contract requirements.
  • Administer procurement and contract processes, including purchasing requests, contract tracking, vendor coordination, and inventory management.
  • Provide guidance to staff and Tribunal Members on administrative and financial policies, procedures, and processes.
  • Liaise with internal corporate service areas (Finance, HR, IT, Facilities) and external vendors to support Tribunal operations.
  • Prioritize multiple competing demands while ensuring efficient, compliant, and timely administrative and financial support for the Tribunal.
