About The Position

Texas Orthopedics, a division of OrthoLoneStar, is seeking a Schedule Coordinator to oversee template modifications for provider schedules within the practice EMR. This role involves scheduling new and follow-up patient appointments to support template changes and periods of high call volume. The Schedule Coordinator will perform various clerical duties related to maintaining patient medical records and schedule templates according to established policies and procedures. Requirements

  • High School diploma
  • Previous experience in a medical office setting
  • Proficient computer skills – Outlook, general Microsoft Office functionality, copy & paste function, ability to move in and out of applications with ease
  • Knowledge of medical and insurance terminology
  • Attention to detail
  • Ability to effectively communicate both orally and written
  • Ability to work in a fast-paced environment
  • Ability to focus on detailed task at hand in an otherwise distracting environment

Responsibilities

  • Serve as the point of contact for all provider modification requests to their schedule templates within the EMR, including changes in appointment slot count, time out of office, and adjustments to appointment slot types for clinic flow, start, and end times.
  • Communicate with providers, Office Managers, and reception teams regarding schedule template changes.
  • Assist in rescheduling appointments affected by template changes.
  • Update the practice call calendar to reflect provider absences.
  • Perform Quality Assurance on the third-party scheduling platform to ensure alignment with EMR schedule template changes.
  • Assist with updating provider scheduling preferences in the third-party scheduling platform.
  • Schedule and reschedule patient appointments, adhering to all insurance rules and limitations per physician bibles.
  • Collaborate with physicians and physician staff to ensure quality patient care and services.
  • Ensure compliance with clinic standards for quality patient care.
  • Record new patient demographics and update existing accounts in the EMR.
  • Answer inbound calls from scheduling queues and redirect them to appropriate departments.
  • Create EMR entries for cancelled appointments.
  • Cancel patient appointments as directed by patients, providers, or the Service Center Manager.
  • Complete all scheduling tasks, messages, requests, referrals, and faxes.
  • Return voicemails and make follow-up attempts to patients who have left voicemails.
  • Confirm appointments as needed.
  • Process and complete online appointment scheduling.
  • Perform other duties as assigned.
