About The Position

This role is for an individual who enjoys seeing tasks through to completion, from order placement, billing, and shipping to license setup and renewal. The position serves as the operational hub connecting customers, the sales team, and the warehouse in Hurst, TX, overseeing all aspects from order entry to shipment. It's an independent role that combines office-based work using ERP and CRM systems with hands-on warehouse tasks such as receiving, picking, packing, and shipping hardware. The specialist will be the primary point of contact responsible for managing multiple orders, licenses, and renewal cycles to ensure nothing is overlooked.

Requirements

  • 1–3 years of experience in order processing, sales operations, customer support, contract administration, or similar business support work.
  • Familiarity with ERP, CRM, inventory, or shipping platforms.
  • Strong Excel, Outlook, and general business-software skills.
  • Exceptional attention to detail and comfort juggling multiple priorities at once.
  • Clear written and verbal communication.
  • A self-starter mindset — organized, accountable, and just as effective working solo as with cross-functional teams.
  • Bachelor's degree preferred, or an equivalent mix of education and experience.

Nice To Haves

  • Experience with inventory management, warehouse operations, or product fulfillment is a plus.

Responsibilities

  • Process orders end-to-end to be completed, billed, and shipped correctly.
  • Review purchase orders for accurate pricing, products, quantities, and customer information before processing.
  • Prepare pricing quotes for new purchases and contract renewals.
  • Coordinate service requests and installation-related activities with internal teams.
  • Create and manage trial, demo, and evaluation software licenses, and maintain customer software environments and access.
  • Monitor upcoming subscription and support agreement expirations, and proactively drive renewals.
  • Prepare renewal quotes, process renewal orders, and keep customer subscription records accurate.
  • Manage daily warehouse operations — receiving, organizing inventory, packing, and preparing shipments.
  • Monitor stock levels, run inventory counts, and process returns, defects, and replacements.
  • Pack and ship hardware domestically and internationally (e.g., UPS WorldShip), including customs documentation.
  • Resolve delivery issues, delays, or damages with carriers, and keep shipping records up to date.
  • Serve as the go-to contact for customers, partners, and internal teams on orders, shipments, licensing, and renewals.
  • Spot and suggest process improvements that boost accuracy and efficiency.
