About The Position

The Sales Support Specialist plays a crucial role in supporting the sales team by managing the CRM system, handling customer quotes and purchase orders, responding to customer inquiries, and coordinating with various internal departments. This role requires a combination of technical skills, problem-solving abilities, and interpersonal skills, along with strong attention to detail and a customer service mindset.

Nice To Haves

  • Experience in the electrical or utility industry is a plus.
  • Associate or bachelor’s degree in business administration, Sales, Marketing, Communications, or a related field is preferred.
  • One to two years of experience in sales support, customer service, administrative support, order management, or a related business environment is highly desired.
  • Additional training or certifications related to customer service, sales operations, or business administration are a plus.

Responsibilities

  • Maintain and update project pipeline, quotes, and awarded projects within the CRM system.
  • Manage contacts, utilities, and agent information in the CRM.
  • Build and maintain the overall CRM structure, including databases and automations.
  • Create and maintain reporting dashboards for management use, including quotes and bookings.
  • Follow ISO procedures to issue formal quotes in response to customer RFP/RFQ, ensuring completeness and accuracy.
  • Confirm receipt of RFQs with customers and coordinate with production, sales, and finance to verify requirements.
  • Complete vendor registration as needed and coordinate with customers, agents, and sales team throughout the quoting process.
  • Follow ISO procedures to receive and submit purchase orders, ensuring accuracy of price, volume, and date.
  • Issue PO Acknowledgement and enter order information into the ERP system accurately.
  • Provide technical specifications, wir files, engineering data, and FAQs upon request.
  • Offer budgetary bids, pricing information, and lead times.
  • Provide production and shipping updates and respond to website inquiries.
  • Coordinate with Finance on invoicing and order details.
  • Provide weekly updates and coordinate with production and fulfillment teams.
  • Work with quality assurance to enter new conductors into the ERP for new orders.
  • Foster proactive communication, equip agents with effective marketing tools, conduct outreach and research, and embrace a “How can I help?” mindset.
  • Enhance sales support to agents through proactive engagement and strategic marketing tools to increase PO volume.
  • Distribute new marketing assets to team members, sales agents, and customers.
