Sales Operations Specialist

VulcanForms Inc.•Devens, MA
•$75,000 - $103,000

About The Position

VulcanForms seeks a Sales Operations Specialist to own the commercial process behind a growing, multi-vertical manufacturing business. This role turns the current manual processes for proposals, order management, and forecasting into a repeatable and scalable process. This is a hands-on position that includes preparing customer quotes, maintaining pipeline data standards, and documenting commercial processes. The role supports a seven-person sales team and reports to the Senior Director of Commercial Operations.

Requirements

  • Four-plus years in sales operations, commercial operations, or a comparable commercial support role
  • Direct experience owning a quoting or deal desk process for configured, non-catalog products
  • Experience running a forecast process with business or sales leaders, including holding contributors accountable to data standards
  • Advanced Excel and working proficiency in Salesforce as a power user
  • Experience with an ERP such as Epicor in a commercial or order management capacity
  • Manufacturing, industrial, or engineered-to-order background; aerospace and defense, medical device, or other regulated long-cycle sales environments preferred
  • A track record of following through on operational commitments without being managed to them
  • Strong written and verbal communication, credible with sellers, engineers, and operations alike

Responsibilities

  • Serve as the deal desk for the commercial team — quote intake, preparation, pricing review, and approval routing
  • Prepare and issue customer quotes, including complex and non-standard configurations
  • Assemble cost and margin inputs from engineering and finance, and prepare the pricing recommendation for approval
  • Maintain quote templates, product structure, and pricing rules, and track quote turnaround against a target
  • Facilitate the forecast process with the business unit owners, who own their forecast, driving it to a committed number on a weekly and quarterly cadence
  • Own forecast reporting and visibility - collecting, consolidating, and sharing the data through our commercial systems
  • Set the pipeline data quality standard and audit against hygiene and accuracy
  • Track quota attainment and supply attainment data to Finance
  • Own the handoff from quoted/won opportunity to purchase order, coordinating across commercial and operations
  • Own customer follow-through — order status, expediting, and chase-downs — and escalate early when a delivery commitment is at risk
  • Enforce commercial data standards for opportunity stages, required fields, record ownership, and account hygiene
  • Document how commercial work flows today and turn the friction points into a prioritized improvement list
  • Represent the commercial team on cross-functional initiatives as needed

Benefits

  • medical, dental, vision, and life insurance
  • paid time off
  • 401(k) matching
