The Sales Operations Coordinator will be responsible for sales and contracts administration for all government-related and service center customers. This role supports the sales team by managing order processing, customer documentation, and internal coordination across multiple stakeholders. The position plays a critical part in ensuring accurate and timely execution of sales processes, including purchase orders, customer paperwork, and system updates. This position is highly collaborative and detail-oriented, requiring strong organizational skills and the ability to manage multiple processes simultaneously. The role also provides light support to marketing-related activities such as trade show coordination and customer-facing materials.

Requirements

  • High School Diploma or equivalent
  • 3–5 years of experience in a sales support, operations, administrative, or similar coordination role
  • Strong organizational skills with attention to detail and ability to manage multiple tasks simultaneously
  • Excellent communication skills and ability to work cross-functionally
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook)
  • Ability to work in a fast-paced, team-oriented environment
  • Requires U.S. Citizenship or Permanent Resident Status required.

Nice To Haves

  • Experience working with ERP and/or CRM systems (e.g., SAP, Salesforce, CETEC, or similar) is a plus but not required
  • Experience supporting sales operations, order processing, or customer-facing coordination
  • Familiarity with government contracting environments (FAR/DFARS) is a plus
  • Experience managing customer documentation, portals, or compliance-related processes
  • Exposure to tools such as SharePoint or similar document management systems
  • Prior experience supporting trade shows or marketing coordination activities
  • Self-starter with a proactive, solutions-oriented mindset
  • Experience working in an ITAR environment

Responsibilities

  • Process incoming customer purchase orders and maintain accurate records within internal systems (e.g., ERP/CRM tools such as CETEC or similar platforms)
  • Manage order acknowledgment communications to customers, including tracking and confirming order details and shipment timelines
  • Support pricing and contract compliance processes in coordination with internal stakeholders
  • Coordinate NDA tracking and completion across multiple internal and external stakeholders
  • Manage customer paperwork including reps & certs, tax exemption forms, and other required documentation
  • Ensure all required documentation is completed, tracked, and properly stored
  • Coordinate completion of required documentation across stakeholders and support return of finalized materials to customers
  • Support bailment coordination processes, including documentation, tracking, and communication with internal teams and customers
  • Ensure agreements are properly executed and required steps are completed prior to delivery
  • Manage customer access to SharePoint and other portals, including granting and removing access as needed
  • Support customer portal updates and ensure information is current and accessible
  • Maintain tracking tools and spreadsheets to support visibility into ongoing sales activities (e.g., order status, documentation status)
  • Support internal coordination and follow-ups to ensure timely completion of sales-related processes
  • Provide general administrative and coordination support to the sales team
  • Support trade show coordination, including logistics, materials, and preparation
  • Assist with website updates, datasheet updates, and marketing coordination as needed
  • Collaborate with cross-functional teams including sales, operations, manufacturing, engineering, contracts, and quality
  • Maintain accurate records, documentation, and filing systems
  • Comply with company policies, procedures, and security requirements
  • Perform additional duties as assigned
