About The Position

El Capitan Canyon Resort, located near Santa Barbara, California, is seeking a Sales Coordinator to join their team. This role involves working with clients planning group stays, catering to diverse market segments including school and adventure groups, corporate clients, and destination weddings. The resort offers a luxury glamping experience on 300 acres in a natural environment. The Sales Coordinator will report to the Sales Director and will be responsible for managing group inquiries, securing lodging reservations, meeting space, and resort activities.

Requirements

  • 1+ year of direct, related administrative experience.
  • Strong administrative skills including accurate and timely filing, proofreading and editing documents, managing multiple incoming telephone calls, faxing, mailing, emailing, and ability to create various business documents.
  • Typing skills of at least 50 words per minute.
  • Ability to effectively communicate both verbally and written with all levels of team members and guests in an attentive, friendly, courteous, and service-oriented manner.
  • Computer proficiency with proven abilities in MS Office, Word, PowerPoint, Excel.
  • Maintain regular attendance in compliance with El Capitan Canyon Resort standards.
  • Maintain high standards of personal appearance and grooming.
  • Superior multi-tasking skills and the ability to work well in a fast-paced environment.

Nice To Haves

  • Luxury hotel sales, marketing, and/or hotel operations experience.
  • Prior experience utilizing Delphi.

Responsibilities

  • Assist Sales Directors and Managers with day-to-day organizational efforts.
  • Answer phones and direct incoming leads or inquiries to appropriate managers.
  • Assist in the preparation and confirmation of client proposals and contracts.
  • Perform daily/weekly reporting duties using resort systems (Delphi knowledge preferred).
  • Prepare all event documentation and coordinate with sales, resort departments, and customers for consistent, high-level service.
  • Recognize opportunities to maximize revenue through upselling and offering enhancements.
  • Meet and greet onsite contacts.
  • Act as a liaison between sales and customers throughout the event process.
  • Conduct professional site inspections of the resort with clients, highlighting key features and benefits.
  • Proactively identify operational challenges associated with events and work with the Director and customers to develop solutions.
  • Coordinate banquet and meeting space for assigned groups.
  • Maintain clear and consistent communication with the Banquet and Events Manager regarding client needs and overall resort guest experience.
  • Develop and maintain effective interdepartmental communication on behalf of the Group Sales Team.
  • Assist sales staff in promoting the resort, developing leads, and securing re-bookings.
  • Utilize the property’s computerized sales management system for managing business, including generating reports, entering business, blocking space, and building accounts.
  • Perform any other job-related duties as assigned.
