About The Position

Under supervision of the Account Sales Director, the Sales Coordinator assists Account Executives in ensuring appropriate client transportation needs by booking services in the reservation system and distributing information to various departments. This role also supports various administrative duties for the Disney Team.

Requirements

  • Computer Skills: Word, Excel, Outlook, Windows
  • High School diploma or equivalent
  • Excellent oral and written communication skills
  • Type 35wpm
  • Self-starter / attention to detail / resourcefulness
  • Ability to work well under pressure
  • Excellent organizational skills and ability to multitask
  • Previous computer knowledge a plus

Responsibilities

  • Enter and proof reservations / manifests
  • Send contract to Disney Rep. or direct client with credit card form
  • Receive and make changes then revise contract
  • Create worksheets/manifest for airport staff, Port or luxury vehicle moves
  • Take phone calls from direct clients /Disney Reps/Disney Team/ Internal Personnel
  • Provide quotes for Account Executives unless it is complex and needs their involvement
  • Manage Disney Banquet Event Orders (BEO’s)/Pulling; Inputting into SantaCruz / Changes
  • Create Mears Connect group portal
  • Create staff instructions and staff packets, including but not limited to driver maps, signs, count sheets, vehicle log sheets, etc.
  • Take cold calls/ quote/send contract/receive payment
  • Interact with operations to advise of changes
  • Create in-house forms when needed
  • Create departure notices when needed
  • Research transportation challenges and respond to the requester in a professional manner
  • Keep filing/scanning system current
  • Approve invoices
  • Do adjustments and refunds as needed
  • Follow up on past due accounts
  • Check for zero balances
  • Prep files for scanning
  • Assist fellow team members
