About The Position

WHAT YOU’LL DO - Draft and merge contracts. - Answer telephone and assist internal and external customers with requests. - Data entry using Delphi/FDC, Microsoft Word, Outlook and Excel. Tasks include but are not limited to reporting, contract drafting, information distribution, etc. Maintain and organize incoming lead assignments, lead source data for solicitation purposes and sales manager territory guidelines. Maintenance and reporting for travel expenses, travel schedules, troubleshooting and overseeing hotel event platform data (Cvent, MeetingBroker, etc.). - Coordinate site visits, projects, and activities. This may involve attending meetings, working with other departments to prepare hotel for client visit, taking notes and acting on assigned duties to coordinate and execute projects. - Copy and distribution of internal/external letters, forms, bookings, contracts, resumes, rooming lists, schedules, departmental memos, and mail. - Email correspondence directed by managers as needed, saving sales managers time that can be redirected to increased prospecting and solicitation efforts. Requirements

  • 2+ years of hospitality experience, ideally within administrative support.
  • You're highly creative, with strong sales and interpersonal skills!
  • You've got great communication skills both internally and externally.
  • Professional phone etiquette, writing skills, and knowledge of Microsoft Office.
  • Well organized, detail-oriented, with excellent follow-up skills.

Nice To Haves

  • Bilingual (English/Spanish) highly desired.

Responsibilities

  • Completion of contracts, amendments, and cover sheets.
  • Preparation of site visits and manage staff communication related to interdepartmental prep.
  • Administration of leads; research, assign and track of qualified leads.
  • Potential need for supporting budget and balance of checkbook.
  • Prepare A&P reports for management staff.
  • Crosstrain to assist when needed with reports including weekly recap, dashboard and booking audits.
  • Report all unsafe conditions immediately.
  • Attend all mandatory meetings.
  • Follow and know emergency procedures as needed.
  • Keep work area clean and organized.
  • Maintain a good working relationship with other departments, associates, and guests.
