About The Position

The Sales Coordinator is responsible for entering rooming lists for groups into the Property Management System (PMS) and Sales System. This role provides sales reports and communicates daily, weekly, and monthly reports as requested. The Sales Coordinator also assists clients with room reservations and facility tours as directed by the Sales Manager. The position ensures groups experience excellent guest service upon arrival and follows up after departure, responding to client inquiries and resolving issues in a timely manner. Additionally, the Sales Coordinator continuously strives to improve processes and maintain a clean, safe work environment, adhering to all company policies and guidelines.

Requirements

  • High school diploma or general education degree (GED).
  • Must be 21 years of age or older.
  • 1-2 years of related experience and/or training preferred.
  • Guest service, sales, or administrative experience preferred.
  • Good verbal, written, and interpersonal communication skills.
  • Ongoing guest service and hospitality skills.
  • Detail-oriented, organized, self-motivated, and values teamwork.
  • Working knowledge of Microsoft Office, Word, PowerPoint, and Excel.
  • Ability to work in a professional high-pressure environment while demonstrating and maintaining good personal relation/people skills and a positive attitude.
  • Ability to multitask and work well under stress.
  • Must be a self-starter and able to adjust to change.
  • Must be able to work flexible hours during the day or evening including weekends, holidays, and all blackout dates.

Responsibilities

  • Coordinates groups after booking, through arrival and after departure, including entering room lists for groups into Property Management System (PMS) and Sales System.
  • Verifies completeness and accuracy of information.
  • Sets up and maintains client files and records.
  • Manages group blocks and cut-off dates.
  • Generates and distributes reports, paperwork and/or information for client groups in a timely manner.
  • Manages billing and ensures payments are received.
  • Assists with on-site and off-site tours of the hotel.
  • Answers questions or concerns that the clients may have regarding rooms, hotel rates, and services.
  • Prepares and distributes correspondence to clients and hotel staff and maintains control log of events.
  • Provides guest service consistent with company’s standards and brand attributes.
  • Ensures groups arriving on property experience excellent guest service and follows up after group departs.
  • Responds to requests and resolves internal and external guests’ complaints in a timely manner or refers to the appropriate management team.
  • Continuously strives to improve processes and effectiveness of internal systems and procedures.
  • Works to understand process flow and makes recommendations to streamline processes.
  • Ensures that a clean, safe, hazard-free work environment is maintained.
  • Adheres to all company and department policies, procedures, and standard operating guidelines.
  • Performs other duties as assigned.
