About The Position

This role provides essential administrative and coordination support to the Sales, Event, and Catering Managers. The specialist will handle a variety of tasks to ensure the smooth operation of sales, events, and catering services within the hotel. This includes managing client communications, preparing important documents, coordinating with internal departments, and assisting in the planning and execution of various events.

Responsibilities

  • Provide administrative support to the Sales, Event, and Catering Managers
  • Answer phone calls, emails, and customer inquiries professionally
  • Prepare quotations, contracts, proposals, banquet event orders (BEOs), and sales reports
  • Maintain client databases and filing systems
  • Schedule appointments, meetings, site inspections, and event walkthroughs
  • Coordinate with hotel departments regarding group bookings, catering requirements, and event logistics
  • Assist Event and Catering Managers with planning and coordinating special events, banquets, conferences, weddings, and corporate functions
  • Communicate event details with clients and internal departments to ensure successful event execution
  • Assist in preparing event schedules, function sheets, and related documents
  • Monitor event timelines and support day-of-event coordination when needed
  • Assist in preparing marketing materials and presentations
  • Follow up with clients regarding conformations, payments, contracts, and feedback
  • Handle correspondence and distribute internal communications
  • Enter and update sales and catering data in hotel management systems
  • Maintain organized records and office supplies
