Requirements

  • High school diploma or GED.
  • At least 2 years of experience in an administrative support role.
  • Ability to read, analyze, and interpret technical procedures or governmental regulations.
  • Ability to write business correspondence to customers, reps, and managers.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Bilingual English required.
  • Ability to calculate figures and amounts such as discounts, interest, proportions, percentages, area, circumference, and volume.
  • Ability to apply concepts of basic algebra and geometry.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Ability to work under stressful conditions.
  • Ability to deal with irate individuals.
  • Ability to work irregular hours.
  • Ability to travel as required.
  • Skill in establishing and maintaining effective working relationships.
  • Skill in exercising a high degree of initiative, judgment, discretion, and decision-making to achieve organizational objectives.

Responsibilities

  • Update and maintain customer profiles for the assigned region, including customer profile forms, account information in StelPlan, and customer clauses on the intranet.
  • Provide Best-In-Class customer service by responding to customer requests for order status, assisting Sales Reps in quoting customers, returning calls/messages/emails promptly, providing technical data upon request, and fulfilling requests for missing paperwork (TR's/BOL/Invoices, etc.).
  • Process customer orders by entering them into the system, acknowledging customer POs, executing Buy Req, Process Req, or Transfer Req as appropriate, processing open orders by updating due dates, releasing orders, and assisting with cutplan.
  • File customer POs and maintain files of all quotes, transactions, and correspondence related to customer RFQ's/Orders and Quotations.
  • Communicate inventory shortages to Sales Management and Purchasing.
  • Assist Sales Reps in maintaining A/R integrity by executing Credit and RA Forms and reviewing account status, dates, and A/R balances.
  • Respond timely to action-related emails, including questions or projects from Sales Management and departmental inquiries regarding orders or other issues.
  • Participate in departmental and company meetings, including Sales Meetings, and contribute actively.
  • Prepare quotes, contracts, and RFP/RFI responses for potential customers.
  • Maintain all quote documentation with accurate pricing and configurations.
  • Work the Open Order Report and release orders to the floor, and work cut plans on orders to release to the floor.
  • Cover Sales Reps' desks when they are traveling.
  • Work with production to ensure orders are processed and shipped.
  • Perform other duties as assigned.
