About The Position

From first sample to final launch, our process is highly collaborative and detail-driven. Behind the scenes, our Sales team plays a critical role in supporting retail partners around the world and ensuring our products are represented accurately and delivered seamlessly. We’re looking for a Sales Assistant - Key Accounts who is highly organized, proactive, and eager to support a fast-paced sales environment. Reporting directly to the Director of Sales, this role supports both the Key Accounts and International Key Accounts channels by managing order processing, coordinating product and account information, and helping to keep day-to-day sales operations running smoothly. This role is ideal for someone who enjoys detail-oriented work, thrives in a collaborative environment, and is excited by the operational side of wholesale sales. You'll partner closely with Sales, Product Development, Marketing, and Customer Service to ensure accounts are supported accurately and efficiently, while playing an important role in the continued growth of Rifle Paper Co. This is a hybrid role based out of our New York, New York Office as this team member will be expected to be onsite at least three days a week. Additional in-office days may be required from time to time to support team collaboration and key business meetings. The anticipated based range for this role is $55,000 to $65,000 annually. Final compensation will be determined based on several factors, including relevant experience, and qualifications.

Requirements

  • Bachelor’s degree in Merchandising, Product Development, Sales, Business, or a related field required.
  • 2+ years of experience in sales support, account coordination, wholesale operations, or a related administrative role preferred.
  • Experience with SAP, ERP systems, or wholesale order management platforms preferred.
  • Familiarity with EDI processing, retailer portals, and UPC catalog management is a plus.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Proficiency in Google Workspace and Microsoft Office applications, particularly Excel.
  • Comfortable working in both Mac and PC environments.
  • Collaborative, proactive, and solutions-oriented mindset.
  • Ability to prioritize tasks quickly and adapt to evolving business needs.
  • Eagerness to learn about wholesale sales operations and cross-functional business processes.

Responsibilities

  • Process and enter wholesale orders into SAP Business One with accuracy and attention to detail.
  • Maintain and update customer account records and account data within SAP.
  • Navigate retailer and distributor portals to retrieve purchase orders, invoices, and order documentation.
  • Develop a strong understanding of Rifle Paper Co. product lines, SKU nomenclature, and product details to support accurate order entry and account communication.
  • Complete retailer new item setup forms and maintain product information documentation.
  • Update and distribute seasonal UPC lists and pricing documents with current costing information.
  • Support Key Accounts and International distributors with product information, imagery, and account materials as needed.
  • Prepare and complete new product setup spreadsheets for accounts and distributor partners.
  • Maintain and organize shared Dropbox folders and external product resources for distributors and retailers.
  • Manage buyer sample requests and coordinate bulk sample shipments following seasonal product launches.
  • Partner with warehouse and fulfillment teams to track shipment status and support on-time delivery for key accounts.
  • Assist with seasonal market preparation, account meetings, and select regional tradeshows.
  • Work cross-functionally to resolve wholesale misships, damages, and order discrepancies, including coordinating replacements and return shipments.
  • Maintain internal sales documents and spreadsheets used across multiple departments.
  • Communicate proactively with internal teams to support account timelines, shipment updates, and retailer requests.
  • Represent Rifle Paper Co. with professionalism and a customer-focused approach in all written and verbal communication.
  • Support the Director of Sales and Account Executives with administrative and operational tasks as needed.
