About The Position

Spanish Broadcasting System (SBS) is seeking a dynamic, organized, and detail-oriented Sales & Promotions Assistant to support our sales and promotional operations across our group of stations. This role provides administrative and promotional support to Account Executives, Sales Managers, and Promotions teams in a fast-paced, deadline-driven media environment. The ideal candidate is a proactive self-starter with excellent communication skills, strong multitasking abilities, and a passion for media, marketing, promotions, and client service. This position works collaboratively across multiple departments, including Sales, Traffic, Digital, Promotions, and Finance, while helping ensure the successful execution of advertising campaigns, station promotions, and client initiatives.

Requirements

  • Minimum of 2–3 years of administrative, sales support, promotions, or media experience preferred.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple projects and priorities in a fast-paced environment.
  • Excellent written and verbal communication skills in both English and Spanish.
  • Strong customer service and interpersonal skills.
  • Proficiency in Microsoft Office Suite including Excel, Word, PowerPoint, and Outlook.
  • Ability to analyze sales data and create professional presentations and reports.
  • Flexible, resourceful, and able to adapt to changing deadlines and priorities.
  • Team-oriented with the ability to work collaboratively across departments.
  • Bilingual English/Spanish required, both written and verbal.
  • Valid driver’s license required.

Nice To Haves

  • Associate’s or Bachelor’s degree in Business, Marketing, Communications, Media, or related field preferred.
  • Experience with WideOrbit, vCreative, or media industry software preferred.

Responsibilities

  • Support Sales Managers and Account Executives throughout the sales and campaign process.
  • Enter and revise sales orders in WideOrbit and other internal systems.
  • Prepare invoices, spot times, airchecks, campaign recaps, and make-good opportunities.
  • Assist with trade order processing and campaign proposals.
  • Coordinate with Traffic and Digital Traffic departments regarding copy instructions, continuity, scheduling, and co-op facilitation.
  • Communicate with the Credit Department to facilitate order approvals and account management.
  • Generate sales confirmations, contracts, and invoices as requested.
  • Assist with billing adjustments and administrative sales procedures.
  • Maintain client profiles, sales databases, calendars, mailing lists, and presentation libraries.
  • Compile audience ratings, syndicated research, and sales data for presentations and client materials.
  • Create and format Excel spreadsheets and sales reports for analysis and tracking.
  • Research client accounts, industry trends, and market activity to support the sales team.
  • Coordinate station promotions, contests, remote broadcasts, and events through vCreative and other internal platforms.
  • Assist with promotional scheduling, prize fulfillment, event logistics, and recap reporting.
  • Support promotional partnerships, sponsorship activations, and marketing initiatives.
  • Coordinate meetings, presentations, and client or station events as needed.
  • Assist with setup and execution of station appearances, community events, and promotional campaigns.
  • Provide general administrative support including phone coverage, filing, scanning, copying, and mail coordination.
  • Collaborate with other Sales Assistants and team members to provide backup support when necessary.
  • Assist with copy translation and ensure client approval of advertising materials when needed.
  • Maintain confidentiality and professionalism while handling sensitive business information.
  • Perform additional duties and special projects as assigned by management.
